Overview

The Home Base Operations Coordinator will work closely with all members of the Home Base team to ensure all administrative activities, systems and resources are organized, coordinated, and accurate. The coordinator will enter data into and maintain data tracking systems for the program s he/she is administering. The coordinator will assist with all administrative reporting and ensure accuracy of all data collection and entry.

This is a hybrid position where you will work a minimum of two (2) days per week in the office at 1411 Tremont Street Boston, MA. Hybrid work schedule may change, and you will be notified by your supervisor.

Responsibilities
  • Track and report all program (Home Base) payments for weekly check run processing through accounting.
  • Facilitate training for new Operations staff onboarding and refresher for current Operations staff.
  • Assist with Home Base Operations email including working closely with owners for recoupments, collaborating with internal staff for ACH returns/reissues, returned checks and any other payment related questions.
  • Monitor all HAPPY data entry, including running weekly program demographic reports and following up with operations administrators to correct for accuracy.
  • Maintain basic knowledge of all Home Base programs and Metro Housing/EOHLC policies.
  • Maintain a working knowledge of all operations tasks to provide coverage for other operations staff when necessary.
  • Work closely with all program staff to ensure that applications are complete and accurate, and processed in an efficient and timely manner.
  • Other duties as assigned include but not limited to approving Home Base submissions and backup Language Assistance Plan [LAP] activities for the department.
Qualifications
  • Ability to communicate effectively and compassionately with clients, internal team members and external partners.
  • Strong time management and organization skills and the capability to handle high‑volume administrative work and manage a very busy work environment with competing priorities.
  • Sensitivity to the needs of a diverse, low‑income population. Demonstrated ability to handle emotionally stressful situations and manage conflict. Empathetic to those needing reasonable accommodation as well as language assistance.
  • Ability to work independently and with a team.
  • Ability to adapt to changing work demands.
  • Strong interpersonal, written and oral communication skills.
  • Proficient with Windows, Microsoft Access, Word, Excel, and comfort learning new software and tracking systems.
  • High School Diploma or GED required. Bachelor’s Degree preferred.
  • Experience with housing systems, homelessness, and social service providers (preferred).
Preference Given To
  • Candidates with multilingual skills (verbal and written). We are seeking candidates that speak and write English and at least one of the following languages (for interpreting and translation):
    Vietnamese, Cape Verdean Creole, Portuguese, Cantonese, Mandarin, Toisanese, and Spanish.
  • Candidates who live within two miles of Metro Housing|Boston’s headquarters at Roxbury Crossing.
