Administrative Manager, School of Medicine, Clin Epi Rsch & Training

The Administrative Manager assists the Administrative Director in day‑to‑day operations and management of administrative services in the Section of Rheumatology, supporting the clinical, research, and education missions of the Department of Medicine. This role develops and manages section activities, leads quality improvement initiatives, and fosters staff development through a high degree of initiative and independent judgement.

Responsibilities
  • Oversee, train, and manage staff members and students, establishing objectives, standards, evaluating performance, and ensuring standards are met.
  • Assist the Administrative Director and Chief in hiring and recruiting faculty; facilitate onboarding and off‑boarding, draft and administer offer letters, credentialing and enrollment paperwork, appointments, promotions, and perform personnel actions in SAP.
  • Manage office space, key control, user IDs, inventory of supplies and equipment; purchase within budget, maintain office equipment, and coordinate vendor or IT repairs.
  • Maintain content on the Rheumatology BUMC and BMC websites, create and update content as needed, oversee fellowship site content, and handle communications for the section, including newsletters and outreach to alumni, ACR, OARSI.
  • Coordinate and attend meetings, prepare agendas, document minutes, and distribute minutes.
  • Manage directory and list serves for Rheum/AADC, updating and circulating list serves for students, staff, faculty, and alumni.
  • Directly supervise staff or students, including making hiring and firing recommendations, conducting performance evaluations, providing training, allocating work, and resolving problems.
Required Skills
  • Bachelor’s degree with 3‑5 years of direct experience in an administrative or related role.
  • Strong communication skills and proficiency with SAP, Concur, and Chrome River; ability to manage multiple priorities.
