Job Overview
Full-time on-site position. Provides secretarial and administrative support for the department, interacting with diverse populations including public, visitors, patients and families, medical practitioners, and medical center staff.
Responsibilities- Answer and screen telephone calls; take accurate messages or direct calls to the appropriate person.
- Greet and direct patients/families, visitors, and staff.
- Respond to requests in a timely manner and provide clear and accurate information within scope of knowledge and authority.
- Type and prepare correspondence and documents according to quality standards.
- Proofread and edit materials for grammar, punctuation, and spelling; draft routine correspondence.
- Compile and distribute reports and other information as needed.
- Schedule appointments and meetings; maintain calendars and schedules for assigned staff.
- Assist in preparation for conferences, seminars, and other department-sponsored programs or events.
- Receive, record, and prepare related materials and perform other related duties as assigned.
- Organize and maintain department files, records, and databases following established procedures.
- Enter information from source documents into databases and/or spreadsheets.
- Prepare, route, and track routine administrative forms and documents.
- Route materials for required authorizations and monitor receipt by final destination.
- Communicate with other hospital departments to resolve delays, problems, and errors.
- High school diploma or GED required; associate’s degree preferred.
- 1–3 years of related work experience required.
- Experience with computer systems required, including web‑based applications and some Microsoft Office applications (Outlook, Word, Excel, PowerPoint, or Access).
- Written Communications: Ability to communicate clearly and effectively in written English with internal and external customers.
- Oral Communications: Ability to understand and converse in English to communicate effectively with medical center staff, patients, families, and external customers.
- Knowledge: Demonstrate full working knowledge of standard concepts, practices, procedures, and policies with the ability to use them in varied situations.
- Team Work: Collaborate in small teams to improve operations by offering ideas, identifying issues, and respecting team members.
- Customer Service: Provide a high level of customer service to patients, visitors, staff, and external customers in a professional, service‑oriented, respectful manner using active listening and problem‑solving skills. Remain calm in stressful situations.
Sedentary work; may exert up to 10 pounds of force occasionally in carrying, lifting, pushing, or pulling objects. Sitting most of the time, with walking and standing required occasionally.
Pay Range$21.00 – $28.26 per hour. The base hourly wage range is the organization’s best estimate at this time; actual compensation may vary based on factors such as seniority, education, training, experience, certifications, location, responsibilities, shift differentials, call pay, premium pay, overtime, and other permissible factors.
Vaccination RequirementAll staff must be vaccinated against influenza (flu) as a condition of employment.
