Job Description
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization.
In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management experience will ensure smooth daily operations, creating a positive first impression and supporting the overall efficiency of our office environment. Responsibilities- Greet visitors warmly and professionally, ensuring a positive first impression
- Answer and direct incoming calls using multi-line phone systems with excellent phone etiquette
- Manage appointment scheduling, calendar management, and coordinate meetings for staff
- Handle data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace tools
- Assist with office management tasks such as supply inventory, mail distribution, and basic bookkeeping using Quick Books or similar software
- Support administrative functions including proofreading documents, managing correspondence, and supporting customer support efforts
- Provide bilingual support when needed to assist diverse clients or visitors effectively
- Proven office management or clerical experience in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively
- Exceptional customer service skills with professional phone etiquette and interpersonal communication abilities
- Experience handling multi-line phone systems and managing front desk operations
- Bilingual abilities are highly preferred to serve a diverse clientele
- Familiarity with medical or dental receptionist duties, including calendar management and patient data entry, is a plus
- Previous experience with bookkeeping or personal assistant responsibilities is advantageous
