Front Desk Receptionist

Job Description
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization.

In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors, clients, and team members. Your organizational skills and office management experience will ensure smooth daily operations, creating a positive first impression and supporting the overall efficiency of our office environment. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a dynamic team.

Responsibilities
  • Greet visitors warmly and professionally, ensuring a positive first impression
  • Answer and direct incoming calls using multi-line phone systems with excellent phone etiquette
  • Manage appointment scheduling, calendar management, and coordinate meetings for staff
  • Handle data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace tools
  • Assist with office management tasks such as supply inventory, mail distribution, and basic bookkeeping using Quick Books or similar software
  • Support administrative functions including proofreading documents, managing correspondence, and supporting customer support efforts
  • Provide bilingual support when needed to assist diverse clients or visitors effectively
Qualifications
  • Proven office management or clerical experience in a fast-paced environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively
  • Exceptional customer service skills with professional phone etiquette and interpersonal communication abilities
  • Experience handling multi-line phone systems and managing front desk operations
  • Bilingual abilities are highly preferred to serve a diverse clientele
  • Familiarity with medical or dental receptionist duties, including calendar management and patient data entry, is a plus
  • Previous experience with bookkeeping or personal assistant responsibilities is advantageous
