We are seeking a polished, highly organized, and discreet Executive Assistant to support three members of an Executive Team within a leading private investment organization serving ultra‑high‑net‑worth clients.

Working at the heart of a dynamic and entrepreneurial business, you'll be responsible for ensuring three executives operate at maximum effectiveness. From managing complex schedules and global travel to preparing for high‑profile meetings and keeping daily operations running seamlessly, you'll become an indispensable member of a collaborative and high‑performing team. This role is ideal for someone who is proactive, calm under pressure, exceptionally organized, and naturally anticipates what needs to happen before being asked.
Key Responsibilities- Manage complex calendars for three executives, balancing internal meetings, client commitments, board responsibilities, and personal appointments.
- Anticipate scheduling conflicts and proactively prioritize competing demands.
- Coordinate detailed domestic and international travel, including flights, hotels, ground transportation, dining reservations, and comprehensive itineraries.
- Prepare and reconcile expense reports, corporate credit card statements, and reimbursements accurately and on time.
- Act as a professional first point of contact for clients, business partners, and external advisors.
- Prepare meeting agendas, presentations, reports, and follow‑up materials in partnership with internal teams.
- Ensure executives are fully prepared for meetings with all relevant documentation and briefing materials.
- Oversee the day‑to‑day running of the office, including vendor relationships, office supplies, equipment, mail, and visitor hospitality.
- Support firm‑wide initiatives, operational improvements, and special projects.
- Help maintain a polished, efficient, and welcoming office environment.
- 5+ years of Executive Assistant experience supporting senior executives.
- Experience supporting multiple executives simultaneously.
- Outstanding organizational, communication, and relationship management skills.
- A calm, solutions‑oriented approach under pressure.
- The ability to work on‑site full‑time in Park Ridge, IL, Boston, MA, or Salt Lake City, UT, with occasional flexibility outside standard business hours when required.
- Wealth management, financial services, private banking, or family office experience.
- Experience using Asana or similar project management software.
- Confidence using AI productivity tools such as Claude for drafting, research, and meeting preparation.
- Notary Public certification, or willingness to obtain one.
