Sigma Inc. is seeking a detail-oriented Training Program Support professional to support the MBTA Operations Training Department in Boston, MA. This is an excellent opportunity for candidates with administrative support, data entry, document management, records management, and basic technical support experience who thrive in a fast-paced training environment.
This role involves supporting training operations, processing training records, assisting with document management, providing basic iPad support, and maintaining accurate electronic records across multiple MBTA training locations.
Job Responsibilities Administrative & Data Entry Support- Enter daily attendance records into electronic databases with speed and accuracy.
- Process large volumes of data while maintaining high accuracy.
- Scan, organize, name, archive, and file training documents.
- Maintain both electronic and paper filing systems.
- Track document status from receipt through completion.
- Search electronic and paper records to verify information.
- Review forms for missing or inconsistent information.
- Identify and report data discrepancies for correction.
- Prepare reports and assist with confidential projects.
- Organize training records according to established procedures.
- Archive documents in compliance with organizational policies.
- Maintain document accuracy and confidentiality.
- Support records retrieval and document verification.
- Provide basic iPad troubleshooting assistance.
- Assist employees with connectivity, application access, and navigation.
- Help users with routine iPad setup and daily functionality.
- Escalate recurring technical issues to IT support.
- Operate office equipment including scanners, printers, copiers, and computers.
- Work independently with minimal supervision.
- Support training projects requiring extensive administrative assistance.
- Perform additional duties as assigned.
- Previous administrative support or office experience.
- Strong data entry skills with excellent accuracy.
- Experience using Microsoft Office applications.
- Excellent computer skills.
- Strong organizational and multitasking abilities.
- High attention to detail.
- Ability to manage confidential information.
- Excellent written and verbal communication skills.
- Ability to work independently.
- Comfortable learning new software systems.
- Basic troubleshooting skills for tablets or mobile devices.
- Experience supporting training programs.
- Records management or document control experience.
- Administrative experience in transportation, education, healthcare, or government environments.
- Experience maintaining electronic filing systems.
- Basic technical support experience with iPads or similar devices.
The Roadway Worker Protection (RWP) training program requires approximately 61 hours of weekly coverage shared among multiple contractors.
- Up to 37.5 hours per week
- Primarily daytime schedule
- Occasional overnight shifts
- Split shifts may be required based on operational needs
- Schedule may change based on business requirements
