General Responsibilities

Easy Mile Fitness is seeking a highly organized, resourceful, and people-first Office Manager & Executive Assistant to serve as the operational backbone of our 25-person Boston corporate office. This dual-function role is equal parts office operations leader and executive-level support partner — you will keep the office running flawlessly while providing direct, high-trust support to senior leadership.

This is a high-visibility, high-impact role for someone who thrives in a fast-growing, entrepreneurial environment and takes genuine pride in creating a workspace where great work happens. You will report directly to the Co-CEOs and work in close partnership with the Director of HR.

Responsibilities Office Operations & Administration
  • Manage operations for an office of 25 employees, managing facilities, vendor relationships, building management contacts, and day-to-day office systems.
  • Own conference room scheduling, AV setup, and meeting logistics for internal and external gatherings including board meetings.
  • Maintain and order office supplies, snacks, equipment, branded apparel, and beverages.
  • Act as primary point of contact for building management; submit and track service requests, coordinate repairs, and manage access for guests and contractors.
  • Function as office reception, distributing mail, greeting incoming clients and job candidates, and acting as liaison for all office guests and employees.
  • Maintain a clean, organized, and welcoming office environment that reflects the EMF brand and culture.
  • Provide direct calendar management and scheduling support to the Co-CEOs — coordinating across time zones, prioritizing competing demands, and anticipating scheduling conflicts before they arise.
  • Prepare and organize materials for executive meetings, board presentations, and leadership offsites including agendas, pre-reads, and follow-up action tracking.
  • Manage executive travel arrangements including flights, hotels, ground transportation, and detailed itineraries.
  • Draft, proofread, and finalize executive correspondence, memos, and communications.
  • Process expense reports and reconcile corporate credit card statements for Co-CEOs.
  • Handle sensitive and confidential information, including HR matters, financial data, and strategic plans with discretion.
  • Coordinate cross-functional priorities, follow up on action items, and keep projects moving.
Culture, Engagement & Events
  • Own new hire onboarding logistics for the Boston office including welcome kits, workspace setup, orientation scheduling, and first-day experience.
  • Plan and execute internal events including team lunches, quarterly celebrations, leadership offsites, and company-wide gatherings.
  • Coordinate employee recognition programs including monthly awards, tenure anniversaries, and milestone celebrations in partnership with the Director of HR.
  • Maintain a rolling calendar of employee travel, time-off, and key dates to support operational planning and coverage.
Qualifications
  • 3+ years of experience in an office management, executive assistant, or chief of staff support role
  • Demonstrated experience supporting C-suite or senior leadership with calendar management, travel, and executive communications.
