Administrative Assistant - Boston, MA
We are seeking candidates for an Administrative Assistant position with a leading private equity firm located in Boston, MA. The Administrative Assistant will support senior leadership while managing complex calendars, coordinating travel arrangements (domestic and international), and maintaining logistics. The ideal candidate will have 0-2 years of administrative experience within professional services.
This is a 6+ month contract-to-hire position that will pay $25-30/hr within a 40-hour workweek. This position supports a hybrid work model, onsite 4 days per week, remote 1 day per week.
Responsibilities:Manage complex calendars, scheduling meetings, and prioritizing competing demands.
Coordinate domestic and international travel, including detailed itineraries and travel logistics.
Organize and facilitate meetings with a wide range of internal and external stakeholders.
Prepare high-quality, detail-oriented materials, including client reports, presentations, meeting agendas, and briefing packets.
Process expense reports, manage correspondence, maintain filing systems, and provide day-to-day administrative support.
Assist with special projects, company events, and visitor coordination.
Build and maintain strong collaborative relationships with colleagues, clients, and external partners.
Perform additional administrative and operational duties as assigned.
Bachelor’s degree in a related field required.
0-2 years of administrative experience within a professional services environment.
Previous experience in the investment management or financial services industry is preferred.
Exposure to global business environments, either professionally or personally, is a plus.
Proficiency in Microsoft Office Suite with a strong aptitude for learning new technologies and improving processes.
Exceptional attention to detail with a demonstrated commitment to accuracy and quality.
Strong organizational, multitasking, and time management skills with the ability to effectively prioritize competing responsibilities.
Proactive, resourceful problem solver with the ability to anticipate needs and take initiative.
High level of professionalism, discretion, and dependability when handling confidential information.
