What You'll Do
- Partner closely with senior executives, tailoring your support to their individual working styles and helping them operate at peak efficiency.
- Own complex calendars, prioritize competing demands, resolve scheduling conflicts, and serve as a trusted gatekeeper.
- Manage communications, triaging requests and responding on behalf of executives when appropriate.
- Prepare executives for meetings by creating agendas, assembling materials, coordinating logistics, and following up on action items.
- Create polished presentations, reports, spreadsheets, correspondence, and other executive-level materials using Microsoft Office.
- Coordinate complex domestic and international travel, managing detailed itineraries, last‑minute changes, and expense reporting.
- Plan and coordinate team meetings, town halls, off‑sites, and special events, both virtual and in person.
- Maintain organized digital files and records using platforms such as Microsoft Teams and SharePoint.
- Continuously seek out new tools and technologies that improve executive productivity and team collaboration.
- Support a variety of projects and administrative initiatives, including research, surveys, distribution lists, reporting, and process improvements.
- 6–8 years of progressively responsible Executive Assistant or senior administrative experience supporting management or executive leadership.
- Associate's degree or equivalent combination of education and experience.
- Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, Teams) and Adobe Acrobat.
- Outstanding organizational skills with exceptional attention to detail and the ability to juggle multiple priorities.
- Strong communication skills with the confidence to interact professionally across all levels of an organization.
- High degree of discretion and integrity when handling confidential information.
- A proactive, resourceful mindset with excellent problem‑solving skills and the ability to anticipate executive needs before they arise.
- Ability to remain calm, flexible, and professional in a dynamic, fast‑paced environment.
