About The RoleWe are seeking a highly experienced and proactive Executive Assistant who will also serve as our Boston Office Manager
. This role is ideal for someone who thrives in a dynamic environment, anticipates needs before they arise, and brings structure, professionalism, and calm to a fast‑paced setting. You will partner closely with senior leadership, manage day‑to‑day office operations, and help build the operational foundation that enables our scientific and business teams to do their best work.
- Provide high‑level administrative support including complex calendar management, scheduling, travel coordination, and expense reporting.
- Prepare, edit, and manage executive communications, presentations, and meeting materials.
- Serve as a trusted gatekeeper, prioritizing requests, managing competing demands, and ensuring executives are prepared for meetings and deadlines.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Oversee daily office operations, ensuring a well‑functioning, welcoming, and productive environment.
- Manage vendor relationships, facilities needs, office supplies, equipment, and service providers.
- Lead office space planning, including seating charts and future expansion needs.
- Partner with Executive Assistant & Office Manager in our San Diego office to ensure consistency across company locations.
- 5+ years of experience supporting senior executives in biotech or life sciences.
- Demonstrated experience managing office operations or serving in a hybrid EA/Office Manager role.
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills; able to represent the company and leadership with professionalism.
- High emotional intelligence and the ability to anticipate needs before they arise.
- Comfortable working on‑site in a fast‑paced, evolving environment.
- Proficiency with modern productivity tools (Microsoft Office, Slack, Zoom, expense systems, etc.).
- A proactive, solutions‑oriented mindset with a passion for building structure and supporting high‑performing teams.
