Administrative Operations Coordinator
Location: Boston, MA
Schedule: Hybrid, 4 days onsite / 1 day remote
Compensation: $28–$34/hour
Employment Type: 6+ month contract
A well-established global investment and professional services organization is seeking an Administrative Operations Coordinator to support a busy leadership team. This role offers the opportunity to work in a fast-paced, collaborative environment while providing high-level administrative, scheduling, travel, and meeting coordination support.
The ideal candidate is organized, polished, adaptable, and proactive, with strong communication skills and a willingness to learn. While previous executive support experience is preferred, the team is also open to candidates with administrative experience in a professional environment who are eager to grow their careers.
Responsibilities include:
- Manage complex calendars, prioritize scheduling requests, and resolve conflicts
- Coordinate domestic and international travel, including itineraries, logistics, and related arrangements
- Prepare meeting materials, agendas, presentations, and supporting documentation
- Coordinate team meetings, conference rooms, virtual meetings, and event logistics
- Track action items and provide administrative follow-up as needed
- Support multiple team members in a fast-paced environment while balancing competing priorities
- Maintain organized electronic files, documents, and shared resources
- Communicate professionally with senior leaders, internal teams, and external contacts
- Assist with additional administrative projects and operational support as assigned
Qualifications:
- Approximately 2+ years of administrative, executive support, or professional office experience preferred
- Candidates with less experience will be considered if they have prior professional office experience, excellent organizational skills, and a strong desire to learn
- Direct calendar management experience supporting one or more individuals is required
- Strong proficiency with Microsoft Outlook, including complex calendar management
- Excellent organizational, communication, and time management skills
- Polished, professional, and comfortable interacting with senior-level leadership
- Able to prioritize multiple tasks while maintaining accuracy and attention to detail
- Flexible, proactive, and eager to take on new responsibilities
- Proficiency with Microsoft Office Suite required
