Office Manager & Executive Assistant
We are currently seeking candidates for an Office Manager & Executive Assistant opportunity at a highly successful hedge fund located in Boston, MA. The role manages daily operations and provides executive support to the CFO and additional C‑Suite leaders. This is a 3‑6+ month contract‑to‑hire position, paying between $40–$50 per hour (depending on experience).
Responsibilities:- Provide executive support to the CFO and additional C‑Suite leaders while overseeing day‑to‑day office operations.
- Manage complex calendars, meetings, and domestic and international travel.
- Prepare and manage executive correspondence, presentations, and briefing materials.
- Coordinate executive, board, and investor/client meetings, including agendas, materials, and logistics.
- Track priorities and ensure timely follow-through on action items.
- Oversee office operations, including vendor management (IT, facilities, supplies, security), onboarding support, and workspace logistics.
- Serve as the primary point of contact for office needs and a trusted liaison for internal and external stakeholders.
- Manage event planning for in‑office activities, lunches, events, portfolio meetings, holiday parties, and company outings.
- Handle confidential information with discretion and support special projects as needed.
- Perform additional responsibilities as needed.
- Bachelor’s degree (required).
- 5‑6+ years of executive assistant, administrative assistant, and office manager experience in investment management, financial services, or professional services industry.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, and Outlook).
- Fluency in English and Spanish, with the ability to communicate professionally in both written and verbal contexts (preferred, but not required).
- Strong organizational, time‑management, and prioritization skills.
- High degree of professionalism, discretion, and sound judgment.
- Exceptional follow‑through skills with strong attention to detail.
