Temporary Corporate Executive Assistant (7‑month assignment, Hybrid)
We are seeking an experienced Executive Assistant to provide advanced administrative and practice support to attorneys and internal legal teams. The role requires high autonomy, judgment, and the ability to manage complex client and matter coordination along with business development support.
Essential Duties and Responsibilities- Act as primary support contact for clients and external parties; conduct preliminary research and prepare intake summaries.
- Facilitate new business intake: opening clients/matters, conflict checks, engagement, waiver and disclosure letters.
- Respond to audit and corporate documentation requests; generate complex waiver/disclosure letters using AI tools.
- Manage email and calendar: high‑volume inbox triage, attorney scheduling, meeting coordination, conference calls, and logistics.
- Support practice group and client board meetings: agenda development, minutes, materials, and filing.
- Coordinate travel: booking, itineraries, security access, and upkeep of travel details.
- Document management: prepare, proofread, edit legal documents, format PDFs, maintain Net Docs, and coordinate Docu Sign and courier services.
- Timekeeping and billing: enter time, review and edit prebills, resolve billing discrepancies, and process expense reimbursements.
- Business development & marketing: support pitch materials, Salesforce updates, event coordination, and social media content.
- Knowledge Management: oversee KM deal tracking submissions and follow‑ups.
- General operational support: supply requests, mail handling, compliance tasks, contact list maintenance, and seminar registration.
- Mentor new Executive Assistants and provide team collaboration and backup support.
- Bachelor’s degree preferred.
- 5+ years of administrative support to attorneys with complex workflow management.
- Advanced proficiency in Microsoft Office Suite, PDF editing tools, and AI/drafting platforms.
- Expertise in legal admin systems: document management, CRM (Salesforce), timekeeping, and project tracking (Asana).
- Exceptional organization, communication, client service orientation, discretion, and confidentiality.
- Self‑directed, proactive, collaborative, and capable of managing multiple assignments under tight deadlines.
- Prior experience in fast‑paced, high‑volume legal practices and project management.
- Mentoring and teamwork skills.
- Hourly rate: $42.00 – $56.82 (based on qualifications, experience, education, and location).
- Hybrid in‑office schedule with flexibility for overtime.
