Are you a highly organized professional who enjoys coordinating projects, supporting marketing initiatives, and keeping a busy team running smoothly? We're partnering with a well-established professional services firm in Boston seeking a Marketing Administrative Assistant to join their collaborative marketing and business development team.
This is an excellent opportunity for someone with 1–4 years of experience in administrative support, marketing coordination, office administration, event planning, or client services who is looking to grow their career in a dynamic, fast-paced environment.
What You'll Be Doing- Provide administrative support to the Marketing and Business Development team.
- Coordinate meetings, calendars, travel arrangements, and conference room scheduling.
- Assist with planning and executing client events, networking functions, webinars, and conferences.
- Prepare presentations, proposals, marketing materials, and client meeting packets.
- Maintain CRM databases, contact lists, and marketing records to ensure accuracy.
- Coordinate email communications, invitations, and follow-up correspondence.
- Track project timelines and help ensure marketing initiatives stay on schedule.
- Process invoices, expense reports, and vendor communications.
- Organize digital marketing assets and maintain electronic filing systems.
- Monitor shared inboxes and respond to or route inquiries appropriately.
- Provide general administrative support while assisting with special projects across the marketing team.
- Bachelor's degree preferred.
- 1–4 years of experience in administrative support, marketing coordination, office administration, events, or project coordination.
- Experience supporting a professional services organization (consulting, financial services, accounting, legal, architecture, engineering, etc.) is a plus.
- Strong Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.
- Experience with CRM platforms such as Salesforce or Hub Spot is a plus.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities and deadlines with a positive attitude.
