We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant / Office Manager to provide executive-level support to senior leaders within a fast-paced Real Estate organization. This individual will serve as a trusted partner to leadership, helping manage day-to-day operations, coordinating complex schedules and travel arrangements, and ensuring seamless administrative support across multiple teams and locations.

The ideal candidate thrives in a dynamic environment, demonstrates exceptional professionalism and discretion, and can effectively manage competing priorities while maintaining a high level of accuracy and responsiveness.

Responsibilities

  • Provide administrative support to senior leaders across multiple locations and time zones
  • Manage complex calendars, scheduling, and meeting coordination
  • Coordinate domestic and international travel and prepare expense reports using Concur
  • Prepare presentations, meeting materials, and client-facing documents
  • Organize agendas, logistics, and materials for recurring business meetings
  • Maintain databases, records, and business documentation
  • Coordinate mail distribution and support office operations
  • Assist with office culture initiatives and special projects
  • Provide backup support to the broader administrative team as needed

Qualifications

  • Previous experience supporting executives in a professional, fast-paced environment
  • Associate's degree required;
    Bachelor's degree preferred
  • Strong calendar management, travel coordination, and administrative support experience
  • Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint, Teams, SharePoint)
  • Experience with Concur and Adobe Acrobat preferred
  • Excellent organizational, communication, and multitasking abilities
  • Strong attention to detail, professionalism, and problem-solving skills
  • Ability to prioritize competing responsibilities and work independently
