The Panther Group is seeking a highly organized and proactive Executive Assistant to support the Vice President of Advancement Resources at a prestigious university in Boston, MA. This is an excellent opportunity for an experienced administrative professional who enjoys working in a fast-paced, collaborative environment while supporting executive leadership, coordinating projects, managing events, and assisting with data reporting and analysis. Responsibilities- Provide high-level administrative support to the Vice President of Advancement Resources.
- Manage a complex executive calendar, schedule meetings, and coordinate logistics.
- Prepare meeting materials, presentations, reports, correspondence, and other executive documents.
- Conduct research and assist with special projects from conception through completion.
- Track departmental budgets, process invoices, reconcile expenses, and provide budget updates.
- Coordinate with internal teams to ensure invoices and payments are processed accurately and on time.
- Compile, organize, analyze, and summarize data for leadership reporting.
- Generate reports, dashboards, and data extracts using reporting tools and databases.
- Assist with planning and coordination of engagement initiatives, events, and special projects.
- Support invitation management, event follow-up, and communications for university engagement programs.
- Assist with social media coordination alongside communications and project management teams.
- Maintain accurate records and documentation while supporting multiple ongoing initiatives.
- Build positive working relationships with university leadership, alumni, and cross-functional departments.
- Learn and utilize new technology platforms and reporting tools as needed.
- Bachelor's degree required.
- 3-5 years of executive assistant, administrative, or office support experience.
- Experience supporting senior leadership or executives.
- Strong organizational and project management skills.
- Excellent written and verbal communication skills.
- Advanced Microsoft Office skills, particularly Excel.
- Strong analytical skills with the ability to organize and interpret data.
- Ability to prioritize multiple projects in a fast-paced environment.
- Professional demeanor with exceptional attention to detail.
- Self-starter who works well independently and collaboratively.
- Preferred:
Experience with Salesforce or other CRM systems. - Experience with reporting tools such as Tableau or Cognos.
- Budget tracking, expense reporting, and invoice processing experience.
- Experience coordinating meetings, events, or engagement initiatives.
- Higher education or nonprofit experience is a plus.
Pay is up to $31 per hour DOE
