Job DescriptionDr. Peter Park is seeking a strong applicant for the position of Project Coordinator for the Park Laboratory. This person will help with administrative matters related to the many projects in the laboratory and work closely with the 30-35 scientific staff, postdoctoral fellows, and graduate students. This individual will also work closely with other administrators within the Department and Harvard Medical School as well as with colleagues outside of the university.
The Project Coordinate responsibilities Include:
- Coordinates daily activities of the projects, which include the following tasks:
- Paperwork for data acquisition from other institutions and NIH.
- Scheduling meetings with both internal and external collaborators.
- Coordinating conference travel and logistics for lab members.
- Provides day to day operations management, event planning, as well as administrative support to Dr. Park and his laboratory.
- Effectively and accurately communicates relevant project information to the project teams.
- Assists with the drafting and editing of project proposals and budgets.
- Assists with the hiring process for new openings in the lab and coordinates all onboarding processes including paperwork, ordering computer equipment/peripherals, and setting up new accounts.'
- Plans, organizes and provides administrative and financial support using independent judgment and discretion in planning, prioritizing and organizing work.
- Independently works with the grants manager in ensuring that lab expenses are entered accurately and funds are used appropriately.
- Independently interacts with outside constituencies such as Harvard administrators, faculty, and business partners.
- Schedules and participates in calls and meetings on a regular basis; schedules and conducts calls and phone conferences as needed.
- Keeps Dr. Park and others informed about project status and issues that may impact progress.
- Provides administrative support for the courses that Dr. Park teaches.
- Serves as the primary contact between the laboratory and legal team, managing the full lifecycle of data agreements including updating databases and tracking deadlines.
- Update the laboratory website with new content including publications, people profiles, and news.
- Places catering and supply orders for the laboratory and department as needed.
- Three years' related administrative, coordination or related experience required. Higher education may count toward experience.
- Bachelor's Degree strongly preferred.
- Experience with Harvard financial and administrative systems a plus (Concur, Microsoft Office, Google Workspace, Adobe Acrobat, Confluence).
