HR Program Coordinator
Location: Boston, MA
Schedule: Hybrid, 4 days onsite per week
Compensation: $85,000-$90,000 annually
A highly regarded, fast-paced professional services organization is seeking an HR Program Coordinator to provide high-level administrative, operational, event, and project coordination support to a global HR team. This role will support key people-focused initiatives while also partnering with a broader talent team on programs designed to improve, scale, and modernize the way work gets done.
This is a great opportunity for someone who is extremely organized, detail-oriented, proactive, and comfortable juggling multiple priorities in a polished, professional environment. The ideal candidate will be able to work with a high degree of autonomy, adapt quickly as priorities shift, exercise strong judgment when interacting with internal and external stakeholders, and look for smart ways to use technology to make processes more efficient.
Responsibilities include:- Provide high-level administrative and executive support to a global HR-focused team
- Manage internal and external stakeholder calendars, meeting logistics, agendas, action items, team events, and follow-up communication
- Coordinate travel arrangements, expense reports, meeting materials, and related administrative details
- Support planning and coordination for high-profile internal and external events
- Assist with coordination related to external associations, committees, business networks, employee programs, and internal portals
- Help prepare and maintain client-facing materials, communications, and HR-related resources
- Serve as a key point of contact for HR-related questionnaire, RFP, and RFI processes
- Project coordinate special initiatives focused on improving and automating HR operational processes
- Partner with talent and learning teams on training programs, development initiatives, vendor relationships, timelines, materials, and logistics
- Track deliverables, organize information, and help ensure projects and programs stay on schedule
- Communicate professionally with internal leaders, team members, vendors, and external stakeholders
- Maintain confidentiality and handle sensitive information with discretion
- Prior experience in HR coordination, talent operations, executive administration, project coordination, event coordination, or a related administrative role
- Strong organizational skills and ability to manage multiple priorities in a self-paced environment
- Excellent calendar management, meeting coordination, follow-up, and communication skills
- Professional written and verbal communication skills
- Ability to work independently while remaining collaborative and self-oriented
- Strong attention to detail and comfort managing confidential or sensitive information
- Sound judgment when working with leaders, external stakeholders, vendors, and cross-functional partners
- Tech-savvy with the ability to learn new systems and identify more efficient ways to complete tasks
- Proficiency with Microsoft Office, Outlook, Teams, and common collaboration tools
