Sr. Practice Assistant
Join a compassionate and dedicated Radiation Oncology team where you'll play a vital role in supporting patients throughout their cancer care journey. As a Sr. Practice Assistant, you'll serve as a primary scheduler for a physician group, coordinating appointments, managing complex patient needs, and ensuring an exceptional patient experience. This fast-paced role requires strong organizational skills, the ability to prioritize a high volume of tasks, and confidence working independently.
Ideal candidates are empathetic problem-solvers who excel at customer service, communication, and de-escalating challenging situations while supporting patients and families during emotionally difficult times. Following an onsite training period, this position offers a flexible schedule and the opportunity for a hybrid work arrangement based on team needs.
Performs administrative functions to support smooth and efficient clinical service and practice operations. Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level). Make patient appointments and maintain appointment records. Assist callers with routine inquiries and triage matters appropriately. Process patient billing forms and scan documents to patient medical record (EPIC).
Acts as "Super User" for scheduling, registration and billing systems. Provides assistance and training to others in these areas. May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level. Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results. Additional responsibilities as assigned.
Education:
High School Diploma or Equivalent required
Experience:
3-5 years office experience required
Knowledge, Skills and Abilities:
Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint. Knowledge of office operations and standards and understanding of office procedures, including filing, copying, scanning, printing, and faxing. Ability to use the phone system, manage more non-routine phone calls, and solve routine issues as appropriate. Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
Understanding written sentences and paragraphs in work-related documents, corresponding and communicating with others clearly and effectively (including composing/editing e-mails, memos, and letters), and taking complete and accurate messages. Managing one's own time and the time of others. Well-organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems. Ability to proofread and edit written documents.
