The Opportunity
A well-established investment management firm in Boston is seeking an
Administrative Assistant to join its growing team. This is a highly visible, front-office position that combines reception, office coordination, and administrative support in a professional and fast-paced environment.
This is much more than a traditional receptionist role. The Administrative Assistant will be an important part of the day-to-day office experience, supporting employees and investment professionals while ensuring that visitors and clients receive a polished and welcoming experience. For someone who is proactive and eager to take on more, there is significant opportunity to expand the scope of the position and grow within the firm over time.
WhatYou'll Do
- Greet clients, visitors, vendors, and guests and provide a welcoming, professional experience.
- Answer and direct incoming calls.
- Manage conference room calendars and coordinate meeting room availability.
- Set up and break down conference rooms for meetings.
- Coordinate daily catered lunches for employees, including setup and organization.
- Maintain an organized and professional reception area, conference rooms, and shared office spaces.
- Order and maintain office, kitchen, and general workplace supplies.
- Assist investment professionals with travel arrangements, meeting coordination, and scheduling.
- Coordinate incoming and outgoing mail, packages, deliveries, and messenger services.
- Assist with catering and logistics for meetings, events, and other office activities.
- Communicate with vendors and building management regarding day-to-day office needs.
- Provide general administrative support to employees throughout the office.
- Take on additional projects and responsibilities as you become more established in the position.
- Previous administrative, receptionist, office coordination, or corporate front-office experience.
- Experience working within a professional office environment.
- Financial services, investment management, professional services, or similar corporate experience is preferred.
- Polished, personable, and professional communication skills.
- Strong organizational skills with excellent attention to detail.
- Comfortable interacting with senior professionals, clients, and visitors.
- Ability to balance front-office responsibilities with administrative projects and changing priorities.
- Proactive and willing to step in wherever needed.
- Strong reliability, judgment, and follow-through.
- Proficiency with Microsoft Outlook and Microsoft Office.

CompensationThe position offers a base salary of $90,000–$110,000, depending on experience, plus an annual bonus and comprehensive benefits package.
