Senior Program Coordinator

Boston University Pay Rate: $32 per hour Work Arrangement:
Hybrid — one day per week in the office

Position Summary

Reporting to the Senior Assistant Registrar, this position supports the accurate maintenance of academic records and ensures compliance with applicable university, state, and federal policies and regulations.

The Senior Program Coordinator will support multiple functions within the OUR, including enrollment, registration, graduation, records integrity, academic scheduling, transcript processing, and reporting. The position will be cross-trained in related operational areas to provide coverage during peak periods and changing business needs.

The ideal candidate works independently, exercises sound judgment, manages competing priorities, and maintains the confidentiality and integrity of sensitive student information.

Essential Responsibilities
  • Update academic records in the student information system based on appropriate authorization and supporting documentation.
  • Maintain student records, including demographics, academic programs, course adds and drops, leaves of absence, withdrawals, and grades.
  • Process email communications, workflow requests, and service tickets for assigned areas within the Office of the University Registrar.
  • Review, interpret, and apply university, office, state, and federal policies, rules, and regulations to resolve complex student and institutional issues.
  • Process transcript requests and respond to transcript-related questions from students and university constituents.
  • Research, audit, and maintain historical records used for transcript production and the ongoing maintenance of student academic records.
  • Process degree conferral and graduation-related applications and update records for graduating students.
  • Review student records to evaluate degree completion and graduation eligibility.
  • Communicate with students, academic advisors, department chairs, deans, directors, and other university staff to resolve discrepancies and obtain required information or documentation.
  • Investigate, troubleshoot, and resolve issues presented by students, faculty, staff, and other university constituents.
  • Maintain confidential academic files in accordance with FERPA, university policies, and established office procedures.
  • Identify record discrepancies, investigate root causes, and make accurate and properly documented updates.
  • Support cross-functional projects and provide coverage for related areas during peak periods.
  • Perform other duties as assigned in support of the Office of the University Registrar.

  • Ability to prepare clear, concise, and well-organized documentation.
  • Strong organizational skills and the ability to manage multiple tasks and deadlines.
  • Ability to work independently while knowing when to seek guidance on complex or sensitive matters.
  • Ability to establish priorities, adapt to changing demands, and perform effectively under pressure.
  • Ability to handle confidential information with discretion and maintain compliance with FERPA and university procedures.
  • Proficiency with Microsoft Office or similar productivity tools; experience working with student information systems or workflow ticketing systems is highly desirable.
