Position: Academic Space Manager - School of the Museum of Fine Arts

Overview

The SMFA Administration oversees all aspects of Administration of the school. With 2 buildings, 150 individual studios, approximately 36 full time faculty and 46 part time faculty and 50 staff members, the SMFA administration liaises between the Dean's office and the management of all departments/constituents within the school:
Development, Faculty Affairs, Student Affairs, Expanded Studies, Student Services, Exhibitions, Facilities, Admissions and the Fine Arts Studios.

What You'll Do

The Academic Space Manager, reporting to the Director of Administration, will work with the Director of the Fine Arts Studios and the Facilities Manager, to provide strategic space planning and administrative oversight for 150 individual studios as well as the professional studios in both buildings on the SMFA campus. Will work with various stakeholders to provide guidance to the Director and SMFA leadership with regard to space use and planning in both buildings.

They will be the primary person making decisions regarding individual studio updates and maintenance impacting the finances of the school. In addition, will be responsible for the daily operations and management of both buildings. Will require flexible hours based on the needs for special events such as the Art Sale, Commencement, various art shows, to name a few. Oversees the management of space reservation system.

Serves as a liaison to all occupants and users of 230 The Fenway and Mission Hill, providing appropriate support to those areas and programs.

  • Provides detailed reports to the Director for planning and project coordination with the leadership of the SMFA campus, including direct management of specific projects. (Plan use of space for incoming hires, advise on renovations/construction, represent SMFA and determine reasonability of requests and be point of contact for space projects, advise on options for accommodating requests, influences the long term use of building space)
  • Provides the Director with reports regarding use of maintenance outside of the Facilities realm, ensuring department budgets are used effectively. Schedules meetings, prepares documents and reports as requested.
  • Oversees the daily operations of 230 The Fenway and Mission Hill. This includes serving as the staff contact person in conjunction with the Executive Administrative Assistant for internal and external constituents. Being an emergency contact outside of regular work hours.
    Works with the University Commencement Committee all activities related to Commencement both at the SMFA and Medford.
  • Manages building website and elists. Serves as office and building contact to university facilities and maintenance department.
  • With the Administrative Coordinator manages the room reservations for meetings and events within the spaces of the SMFA buildings.
What We're Looking For Basic Requirements:
  • Bachelor's Degree
  • 2-3 years related operations experience
  • Proficient in Microsoft Word and Excel
  • Experience with databases, ability to learn new software applications, including the EMS reservation system
  • Experience with web page management
Preferred Qualifications:
  • 3+ years experience in higher education or operations management role
  • Experience in art education
Special Work Schedule Requirements:

This position is expected to be primarily onsite, especially during the academic year, with the possibility of scheduled evening events.

Pay Range

Minimum $55,600.00, Midpoint $69,500.00, Maximum $83,400.00

Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
