A growing Boston investment firm is seeking a high-caliber Executive Assistant to provide sophisticated support to senior investment professionals. This is a high-impact opportunity for an individual who enjoys being a trusted partner, anticipating needs, and taking ownership of the details that keep a busy organization running smoothly.
This person will be a key member of a collaborative, high-performing team and will interact regularly with senior executives, investors, and portfolio company leadership. The ideal candidate is polished, proactive, kind, highly organized, and comfortable operating with discretion and confidence.
What You'll Do- Provide proactive, high-level support to MDs and VPs, including complex calendar management and scheduling
- Anticipate executive needs and independently resolve scheduling and logistical challenges
- Serve as a professional point of contact for investors, Limited Partners, and portfolio company executives
- Coordinate board meetings, including scheduling, meeting materials, logistics, catering, and hospitality
- Manage detailed domestic and international travel arrangements and expense reporting
- Support investor meetings, annual meetings, offsites, and other firm events
- Help maintain a polished, welcoming, and investor-ready office environment
- Coordinate catering, deliveries, conference room setup, and other office logistics
- Partner with the Operations team on special projects and firm-wide initiatives
- 3-5 years of Executive Assistant experience, ideally supporting senior executives in private equity, venture capital, investment management, consulting, law, or another high-touch professional environment
- Excellent executive presence with the confidence and professionalism to interact with senior leaders and high-net-worth individuals
- Highly organized, detail-oriented, and proactive
- Strong judgment and discretion when handling confidential information
- Ability to anticipate needs rather than simply react to requests
- Comfortable working in a fast-paced, collaborative environment
- Strong Microsoft Office 365 skills, including Word, Excel, and PowerPoint, as well as Zoom
- A true "owner" mindset — someone who takes pride in doing things exceptionally well and isn't afraid to jump in wherever needed
The firm values in-person collaboration and mentorship. This is primarily an in-office role, with the current flexibility to work remotely one day per week.
