Executive Assistant / Office Administrator to $100K – Highly Visible Role Supporting Senior Leadership!

Our client, a global investment management firm, is seeking an Executive Assistant / Office Administrator to support senior leaders while overseeing the day-to-day operations of a newly established Boston office. This role combines executive support, office administration, and operational coordination in a professional, fast-paced environment. The ideal candidate brings 3+ years of administrative experience, strong organizational skills, and the confidence to work independently in a small office setting.

  • Responsibilities include managing calendars, travel arrangements, expenses, and meeting logistics for senior executives; coordinating office operations, vendor relationships, subscriptions, supplies, and facility needs; preparing presentation materials and supporting business development efforts; serving as the primary liaison for technology support and office-related systems; assisting with employee onboarding, offboarding, and administrative HR processes; maintaining records, portals, and documentation; and providing administrative support to both local and international team members as needed.
  • The ideal candidate possesses 3+ years of executive support, administrative, or office management experience; the ability to prioritize multiple responsibilities with minimal supervision; excellent written and verbal communication skills; strong proficiency with Microsoft Office applications; exceptional attention to detail and follow-through; and a professional, resourceful approach when partnering with senior stakeholders.
