Receptionist/Executive Assistant (A1474600EC) Boston, Massachusetts

Our client, a prestigious private equity firm located in Boston, is seeking a Front Desk Receptionist / Executive Assistant to join their team on a temporary, 5-month maternity leave coverage assignment beginning September 21. This fully onsite position offers $30-$35/hour based on experience, with a schedule of 9:00 AM to 6:00 PM and flexibility to start earlier when needed. The role combines front desk reception responsibilities with executive support in a professional, fast-paced corporate environment.

Job Responsibilities
  • Serve as the first point of contact for visitors, clients, and guests
  • Manage the front desk and maintain a polished reception area
  • Answer and direct incoming phone calls
  • Coordinate mail, deliveries, and courier services
  • Provide executive support to four senior leaders
  • Manage complex calendars and schedule meetings across multiple time zones
  • Arrange domestic and international travel and prepare itineraries
  • Process expense reports and reconcile travel-related expenses
  • Coordinate meetings, catering, visitor logistics, and special events
  • Maintain office supplies and support daily office operations
  • Handle confidential information with discretion
  • Assist with administrative projects and office initiatives as needed
Candidate Qualifications
  • 3+ years of experience in reception, administrative, executive assistant, or office support roles
  • Experience supporting senior executives preferred
  • Proficiency in Microsoft Outlook, Word, Excel, and Power Point
  • Experience with calendar management, travel coordination, and expense reporting
  • Strong interpersonal, communication, and customer service skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Excellent attention to detail and organizational skills
  • Professional, service-oriented demeanor
  • Ability to maintain confidentiality and exercise sound judgment
