Our client is seeking an experienced Legal Assistant to provide comprehensive administrative support to several attorneys within its Finance and Restructuring practice. This position requires strong technical, organizational and client-service skills, with responsibility for complex document production, calendar management, travel coordination, billing support and client communications.
Key Responsibilities- Draft, edit, format, proofread and redline legal documents, correspondence and memoranda.
- Convert documents from PDF to Word and prepare complex Excel spreadsheets and PowerPoint presentations.
- Scan documents, maintain electronic and physical files, assemble closing binders and coordinate document production.
- Apply knowledge of legal terminology, procedures and document formats, including contracts and agreements.
- Assist attorneys with time entry and coordinate billing matters with the assigned billing coordinator.
- Manage calendars, contact lists, appointments, meetings, conferences and travel arrangements.
- Monitor schedules and proactively communicate changes, deadlines and reminders.
- Field internal and external calls, respond to routine inquiries, route calls appropriately and record thorough messages.
- Communicate professionally with attorneys, clients and other internal and external contacts.
- Handle sensitive and confidential information with discretion and sound judgment.
- Anticipate attorney and client needs while managing multiple priorities and differing work styles.
- Take ownership of projects and recommend efficient approaches for completing assignments.
- Provide additional administrative support and assist with other responsibilities as needed.
- Proactive, collaborative and service-oriented approach.
- Strong organizational skills and ability to prioritize competing assignments.
- Excellent judgment, accountability and attention to detail.
- Ability to adapt quickly to changing priorities and deadlines.
- Commitment to remaining current on relevant tools, practices and developments.
- Resourceful and solutions-oriented mindset.
- At least five years of legal assistant experience, preferably supporting corporate attorneys within Finance and Restructuring practices.
- Advanced proficiency with word processing, spreadsheet, presentation, internet, time-entry and billing software.
- Professional experience with PACER, 3E, Microsoft Outlook, Word, Excel and PowerPoint.
- Strong written and verbal communication skills, including excellent command of grammar, spelling, punctuation and legal terminology.
- Demonstrated ability to deliver responsive client service while maintaining high productivity and accuracy.
- Ability to manage complex assignments for multiple individuals with different work styles.
- Flexible team player willing to support colleagues and assume additional responsibilities as needed.
- Ability to lift boxes and move files when required.
