Administrative Assistant

We are currently seeking candidates for an Administrative Assistant opportunity with an elite global investment firm based in Boston, MA. The Administrative Assistant will be responsible for proactive calendar management, coordinating domestic and international travel, preparing reports and presentations, and providing additional administrative support as needed. The ideal candidate will have 0–1+ years of administrative experience, preferably within financial services.

This is an 8+ month contract opportunity paying $27–$33 per hour, depending on experience. The role follows a hybrid work model in Boston.

Responsibilities
  • Manage complex and frequently changing calendars across multiple time zones, proactively coordinating meetings and resolving scheduling conflicts.
  • Coordinate detailed domestic and international travel, including itineraries, accommodations, and expense reporting.
  • Prepare meeting materials, client presentations, and daily team packets while coordinating with guest speakers and internal stakeholders.
  • Oversee meeting and event logistics, including room scheduling, catering, and technology setup.
  • Partner with administrative peers and senior leadership to support seamless communication and workflow across departments.
  • Provide additional administrative support as needed.
Qualifications
  • Bachelor’s degree required.
  • 0–1+ years of administrative experience in a professional services environment; investment management or financial services experience preferred.
  • Advanced proficiency in Microsoft Office Suite and the ability to quickly learn new systems and tools.
  • Strong attention to detail and organizational skills, with the ability to effectively manage competing priorities.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Professional presence, discretion, and a collaborative mindset.
  • Flexible and adaptable with a positive, proactive approach.
