This highly visible, hands‑on role is responsible for creating a professional, welcoming, and efficient environment for employees, visitors, tenants, and business partners across our Boston and Lowell locations.

If you’re someone who values diverse relationships in the workplace, thrives in an ever‑changing fast‑paced environment, and takes initiative with a positive, team‑focused mindset, while working independently, collaborating effectively and anticipating needs before they arise, we'd love to hear from you!

Essential Duties & Responsibilities
  • Serve as the face of the organization, welcoming visitors and creating a friendly, professional first impression while providing exceptional customer service.
  • Oversee the day‑to‑day administration of our Boston and Lowell offices, ensuring work spaces are organized, well‑stocked, and operating efficiently.
  • Build positive working relationships with employees, tenants, vendors, service providers, and visitors.
  • Coordinate meetings, office tours, and company events, including catering and hospitality services.
  • Manage office supplies, inventory, mail, deliveries, and vendor relationships.
  • Provide administrative support to leadership and assist with special projects and changing business needs.
  • Support employee onboarding activities, including workplace setup and uniform coordination.
  • Anticipate needs, troubleshoot issues, and take ownership of problems through resolution.
  • Identify opportunities to improve processes and enhance the overall workplace experience.
  • Pitch in wherever needed to support the team and keep day‑to‑day operations running smoothly.
  • Foresee issues and collaboration on resolutions.
  • Maintain confidentiality and handle sensitive information with professionalism and discretion.
Qualifications
  • 3+ years of experience in office management, administration, workplace services, hospitality, executive support, or a related field.
  • A warm, approachable personality and the ability to work effectively with people at all levels of an organization.
  • Strong organizational skills with the ability to manage multiple priorities and adjust quickly when needs change.
  • A calm, solutions‑oriented approach, particularly in fast‑paced or high‑pressure situations.
  • The ability to work independently, exercise good judgment, and take initiative while also being a collaborative team player.
  • A proactive, "figure it out" mindset with a willingness to take ownership and strong follow‑through.
  • Excellent communication and customer service skills.
  • Flexibility and a willingness to take on responsibilities outside of a traditional job description when needed.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and Zoom.
  • Valid driver's license and the ability to travel regularly between Boston and Lowell.
  • Associate degree preferred.
Physical Requirements
  • Ability to walk throughout office and facility environments.
  • Ability to maintain regular and reliable attendance.
  • Ability to lift and carry up to 50 pounds.
  • Ability to travel between company locations as required.
  • Ability to safely perform the essential functions of the position in accordance with applicable federal, state, and local laws.
