Job Description

Reporting to the Director, Data Governance in DSE Engineering and Data Governance, the AD Information Asset Management will be responsible for the strategic management of Vertex’s information and literature assets, ensuring an accurate inventory of resources and resource owners and driving optimal use and reuse across the organization. This role includes managing the ~$6.5m budget, licensing, and governance and maintaining asset datasets and metadata.

It will coordinate with internal stakeholders, platform owners, and external vendors, serve as the central point of contact for all information asset and literature related inquiries and drive transparency and efficiency in the use of these resources.

Key

Duties and Responsibilities:

Asset Management:
  • Collect, maintain, and publish an inventory of company-wide information assets
  • Oversee and manage an information and literature assets budget of approximately $6.5 million and monitor similar spend in other Vertex organizations
  • Use usage data and business leader input to inform renewal decisions, asset acquisitions, and budget prioritization.
  • Identify and implement cost-saving opportunities by optimizing the reuse of assets across teams.
  • Manage licensing agreements and ensure compliance with all relevant terms.
  • Coordinate with sourcing and legal teams to negotiate renewal terms and pricing.
User Engagement:
  • Communicate updates on information and literature asset inventory and any changes to end users.
  • Facilitate cross-functional communication to identify and promote reusable assets.
  • Ensure the broad sharing of available resources across the organization.
  • Monitor the usage of literature assets and provide detailed reporting to business owners and sourcing teams.
Governance:
  • Utilize the Vertex Data Platform, Literature Management Platforms, and Service Now portals to maintain and share an accurate inventory of all literature assets, including internal data assets, scholarly articles, subscriptions, newsletters, patent databases, and drug databases.
  • Serve as the point of contact for stakeholders regarding information and literature asset requests, including new acquisitions and usage inquiries.
  • Facilitate cross-functional communication to identify and promote reusable assets as well as ensuring leadership support for new investments.
  • Ensure each asset has an identified business owner and partner with them on relevant decisions pertaining to the asset’s purchase, renewal, use or modification.
  • Coordinate with legal on any compliance or licensing matters.
Knowledge and

Skills:
  • Strong understanding of information asset management, including enterprise-wide search, monitoring and approval mechanisms.
  • Strong understanding of literature asset management, including scholarly articles, periodicals, and databases.
  • Proficiency in budgeting and financial oversight.
  • Familiarity with licensing agreements and compliance requirements.
  • Ability to analyze usage data and generate insightful reports.
  • Strategic mindset for identifying cost-saving opportunities and optimizing asset use.
  • Excellent verbal and written communication skills.
  • Ability to effectively generate alignment across functions and executive leaders.
  • Ability to communicate effectively at all levels of the organization.
  • Highly organized with the ability to manage multiple priorities and tasks simultaneously.
  • Strong attention to detail and accuracy in inventory management.
  • Strong interpersonal skills for effective stakeholder management and cross-functional collaboration.
  • Ability to build relationships and work collaboratively with diverse teams.
Qualifications:
  • Bachelor’s degree in Library science, Information Management, Business Administration, or a related field.
  • 5+ years of experience in asset management, library science, data asset governance, or a similar role.
  • Experience managing budgets and financial oversight.
  • Proven track record in cross-functional communication and collaboration.
