PROPOSAL COORDINATOR

Reporting To: PROPOSAL MANAGER

Compensation: $65,000 / year

Description

Ci is seeking a motivated and experienced industry professional to contribute to our architectural projects in our Boston office. This position requires strong attention to detail, the ability to prioritize in a fast-paced environment, and a proactive approach to supporting complex, high-impact projects.

KEY RESPONSIBILITIES
  • Initiate new opportunities in Unanet, Proposal Tracker, and on the Marketing Drive in accordance with Ci standards.
  • Review scope and proposal requirements with leadership to coordinate subconsultants, necessary materials, and deadlines.
  • Track deadlines associated with proposal submissions, including questions, site walks, consultant deliverables, and response deadlines.
  • Collaborate with architects, designers, proposal managers, and subconsultants to gather proposal materials and ensure compliance with submission requirements.
  • Distribute proposal templates to subconsultants to ensure brand consistency and proposal cohesion.
  • Assemble proposal materials in compliance with client requirements.
  • Proofread proposals for clarity, coherence, accuracy, and consistency.
  • Prepare proposal drafts for leadership review and incorporate feedback and revisions.
  • Organize final proposal reviews and submit approved proposals through designated client portals.
  • Follow up on submitted proposals for status updates, outcomes, and new opportunities.
  • Update and maintain records related to opportunities, staff, consultants, clients, and business development activities.
SKILLS, KNOWLEDGE AND EXPERTISE
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and proofreading abilities.
  • Strong organizational and time management skills.
  • Ability to manage multiple deadlines and priorities simultaneously.
  • Experience coordinating with internal teams and external consultants.
  • Ability to interpret proposal requirements and ensure compliance.
  • Proficiency with Microsoft Office Suite.
  • Experience with proposal tracking and project management systems preferred.
  • Ability to work effectively in a collaborative team environment.
