Senior Finance Administrative Manager

We are seeking a strategic and experienced Senior Finance Administrative Manager to lead financial and operational oversight for a dynamic research portfolio. This role serves as a key advisor to Principal Investigators (PIs) and leadership, ensuring sound financial management across the full grant lifecycle, from proposal development through post-award administration. The ideal candidate brings deep knowledge of federal and sponsored research funding (e.g., NIH, HMS, USDA, ARPA-H and Foundations), strong leadership capabilities and the ability to drive compliance, efficiency and strategic financial planning.
Key Responsibilities Include:- Partner with PIs to develop competitive grant and contract proposals, including budget development and cost allowability guidance
- Review and coordinate proposal submissions with Research Management and Finance teams
- Analyze award terms and align budgets to support effective financial controls
- Develop tools and processes to streamline proposal and award management
- Advise leadership on funding opportunities, including those with limited indirect cost recovery
- Oversee the financial management of research funding portfolios
- Lead grant administration teams in monitoring, reporting, and fund management
- Conduct financial forecasting and variance analyses (deficit/surplus)
- Develop and implement strategies to address financial overruns
- Partner with PIs and administrators to proactively manage and resolve budget risks
- Interpret and ensure adherence to institutional and sponsor regulations
- Provide oversight across all phases of grant and contract administration (federal, industry, foundation, clinical trials)
- Ensure compliance with NIH and federal requirements (e.g., effort reporting, Other Support)
- Train, mentor, and supervise grant administration staff
- Collaborate across academic medical center partners (e.g., MGH, BWH, McLean)
Education:
- Bachelor's degree in Finance, Business Administration or related field required
- MBA or advanced degree preferred
- Equivalent experience may be considered
Experience:
- 5–7 years of grant administration or research finance experience
- 3–5 years of people management experience
Knowledge, Skills and Abilities:
- Strong knowledge of federal research funding regulations and sponsor guidelines
- Proven ability to lead teams and influence senior stakeholders
- Advanced proficiency in Microsoft Office (Excel, Teams, Word)
- Excellent communication, organizational, and problem-solving skills
- Ability to manage competing priorities in a fast-paced environment
- High level of initiative, discretion, and sound judgment
