About the Opportunity
The Operations and Program Manager will work closely with the Ethics Institute Director and Associate Director on institute operations and with faculty leads on project implementation. Responsibilities include managing budgets, tracking expenses and reimbursements across multiple accounts, working with external vendors, personnel administration, event and program planning, and providing administrative support for grant proposals. The role also involves coordinating institute activities with partners across Northeastern’s global network and supporting student groups.
Key Responsibilities and Accountabilities- Operations and Project Implementation: supports institute operations and project implementation, schedules projects and programs, maintains records, organizes meetings, assists with reports, and provides logistical support for events and contractors.
- Budget: manages the institute and program budgets, tracks expenses and liabilities, reconciles the budget, ensures timely payment of vendors and consultants, and provides analytic support and financial reporting to funders and the university.
- Personnel: assists the director, associate directors, and project leaders with hiring, arrangements for visiting researchers, timely payment of staff and consultants, and logistical support for co‑op and work‑study programs, including onboarding visitors and participants in residential programs.
- Development: supports the director, associate directors, and project leaders in grant proposal preparation for federal agencies, foundations, and fundraising activities, and collaborates with the Director of Research Development to identify potential funding sources and manage submission materials.
- Cross‑Function Communication: coordinates with budget and research finance teams to align budgets and projects with MOUs, partners with the marketing and communications team to promote institute programs and successes, assists with annual report preparation, and supports communications for individual projects.
- Bachelor’s degree required;
Master’s degree preferred. - Minimum two years of administrative and project management experience, preferably in an academic environment.
- Experience managing budgets and working with financial systems required; experience organizing and running events desirable.
- Quick learner with clear, competent writing skills and strong attention to detail.
- Collaborative and innovative problem‑solving abilities.
- Technical proficiency with Microsoft Suite.
- Excellent interpersonal skills and ability to communicate effectively with students, faculty, vendors, and administrative contacts throughout the university.
- Highly organized, flexible, and capable of working iteratively with competing demands.
- Ability to create and coordinate events, manage timelines, maintain accessible files, and oversee multiple events, programs, and projects simultaneously.
