Own and manage the estimating process from invitation to proposal submission while supporting project management and preconstruction operations. This role is responsible for organization, scheduling, communication, quality control, and ensuring all estimates are completed accurately and submitted on time.
The primary objective is to create a scalable estimating department that consistently produces complete, accurate, and profitable proposals.
Responsibilities- Bid Management
- Review all incoming bid invitations.
- Determine whether opportunities fit company capabilities and workload.
- Enter all opportunities into the Bid Log.
- Organize plans, specifications, addenda, and supporting documents.
- Create project folders in company systems.
- Assign bid due dates and internal deadlines.
- Categorize projects by scope including framing, siding, roofing, metal framing, drywall, labor-only, turnkey, and construction management projects.
- Develop bid schedules and identify critical milestones.
- Ensure all required information is available before work begins.
- Bid Tracking
- Maintain a live Bid Log and provide real‑time updates.
- Track project name, general contractor, owner, location, scope, bid due date, estimator assigned, status, follow‑up dates, proposal submission dates, and award status.
- Monitor opportunities from invitation through award.
- Manage internal and remote estimators.
- Assign projects based on workload and experience.
- Monitor progress throughout the estimating process.
- Track project start dates, due dates, completion dates, revisions, and workload.
- Identify bottlenecks before they impact bid deadlines.
- Quality Control Review
- Perform first‑level review of all estimates before management review.
- Confirm drawings, specifications, and addenda have been reviewed.
- Review quantities for accuracy and reasonableness.
- Verify units of measure and waste factors.
- Identify missing scope items and plan conflicts.
- Generate and track RFIs as needed.
- Flag concerns before final management review.
- Proposal Development
- Prepare complete proposal packages for submission.
- Develop scope sheets, inclusions, exclusions, and clarifications.
- Compile quantity summaries, takeoff reports, vendor quotations, labor assumptions, and supporting documentation.
- Organize alternate pricing and value engineering options when applicable.
- Prepare final proposal packages for management approval.
- Vendor and Subcontractor Coordination
- Obtain and maintain material pricing.
- Obtain budget pricing and lead times from vendors.
- Maintain supplier and subcontractor contact databases.
- Track quotation validity periods.
- Build and maintain strong vendor relationships.
- RFI Management
- Maintain an active RFI log.
- Track submission dates, responsible parties, response dates, and outstanding items.
- Follow up with architects, engineers, owners, and general contractors.
- Ensure critical unanswered RFIs are identified before bid submission.
- Maintain historical labor production rates.
- Maintain historical material pricing.
- Maintain subcontractor and vendor pricing databases.
- Track awarded projects, lost projects, and pending awards.
- Document lessons learned to improve future estimating accuracy.
Provide weekly reports every Friday including:
- Bid Report
- Bids submitted.
- Bids due the following week.
- High‑priority opportunities.
- Projects assigned.
- Projects in progress.
- Projects behind schedule.
- Estimator workload summary.
- Projects awarded.
- Projects lost.
- RFI Report
- Critical outstanding issues.
- Strong organizational and project management skills.
- Ability to manage multiple deadlines simultaneously.
- Strong communication skills with vendors, clients, architects, and estimators.
- Experience with Microsoft Excel and construction management software.
- Ability to review estimates and identify scope gaps, quantity concerns, and missing information.
- Self‑motivated and detail‑oriented.
- Bid log maintained daily.
- Weekly reports completed every Friday.
- RFIs submitted promptly when issues are identified.
- Vendor pricing obtained prior to proposal completion.
- Continuous improvement of estimating systems, databases, and processes.
