Ci Design, Inc. is a dynamic, highly collaborative architectural firm providing architecture, planning, and interior design services to clients domestically and internationally. We are growing rapidly and looking for a Proposal Assistant to work full-time in our Boston office, reporting directly to our Proposal Manager.
This position plays a crucial role in supporting Ci’s award-winning architecture firm by working closely with Principals and assisting in the creation, coordination and production of proposals.
Responsibilities- Initiating new opportunities in Unanet, Proposal Tracker, and on the Marketing Drive in accordance with Ci standards; reviewing scope and proposal requirements with leadership to coordinate sub-consultants, necessary materials, and adhere to deadlines.
- Tracking deadlines associated with proposal submissions, including but not limited to questions, site-walks, response deadline(s), consultant deadline(s).
- Collaborating with Architect(s), Designer(s), and Proposal Manager(s) to gather sub-consultants’ materials for proposals; distributing templates for sub-consultant use to ensure brand consistency and proposal cohesion; reviewing received materials to ensure compliance with submission requirements.
- Assembling proposal materials in compliance with requirements; proofreading for clarity, coherence, and accuracy; preparing timely drafts for review by leadership.
- Implementing feedback and edits on proposals; organizing final review before submission; submitting final, approved proposal into designated client portal.
- Following up on submitted proposals for status updates, new opportunities, and outcomes for continuous improvement.
