The Investment Operations Specialist provides operational, analytical, and administrative support to the firm’s investment process within the Private Client and Trust Group. This role supports portfolio implementation, performance reporting, data integrity, and investment-related workflows across trust and fiduciary accounts.

This position is highly operational in nature and works closely with the Manager of Trust and Investment Operations to support day-to-day investment activities, improve processes, and maintain accurate and well-documented investment records. The ideal candidate combines strong analytical skills, attention to detail, and advanced Excel proficiency with an interest in investment operations and systems.

DUTIES & RESPONSIBILITIES
  • Organize, review, and process trade proposals
  • Execute and implement approved trades across client portfolios in accordance with investment allocations and IPS guidelines
  • Monitor trade settlements and support back-office teams in resolving trade discrepancies
  • Coordinate with custodians, broker‑dealers, and internal operations teams regarding trade activity and issues
  • Support portfolio implementation activities directed by the Manager of Trust and Investment Operations
Performance & Reporting
  • Monitor and validate portfolio performance data and reporting outputs
  • Identify and investigate performance discrepancies or portfolio exceptions
  • Prepare and distribute investment performance reports and portfolio summaries
  • Assist with quarterly and annual investment review materials
  • Maintain accuracy and consistency of portfolio data across reporting systems, including Black Diamond
Systems & Data Management
  • Maintain and support portfolio and trust accounting systems to ensure accurate account setup, coding, and data integrity
  • Ensure consistency of data across custodial, reporting, and portfolio management platforms
  • Support system enhancements, reporting improvements, and process optimization initiatives
  • Assist with data‑related projects, including improving workflows, reporting outputs, and system utilization
  • Organize and prepare materials for portfolio management, investment review, and strategy meetings
  • Maintain target allocations, investment mixes, and related portfolio data
  • Monitor portfolios for allocation drift, liquidity considerations, and other portfolio‑level changes
  • Support development and maintenance of internal reporting and portfolio monitoring tools (e.g., overdraft and cash monitoring reports)
Compliance, Documentation & Controls
  • Monitor portfolios for adherence to investment guidelines and elevate exceptions as appropriate
  • Maintain thorough documentation of investment activity, decisions, and supporting materials
  • Support audit requests, compliance reviews, and regulatory reporting processes
  • Assist in maintaining organized records of investment proposals, approvals, and related documentation
Projects & Process Improvement
  • Participate in ongoing projects to enhance investment operations processes, systems, and documentation
  • Assist with organizing and maintaining investment‑related records, including historical proposals, approvals, and reporting materials
  • Support initiatives to improve consistency and usability of investment data, notes, and reporting across systems
  • Identify opportunities for process improvement and contribute to implementation of more efficient workflows
QUALIFICATIONS
  • Bachelor’s degree in Finance, Accounting, Economics, or a related field
  • Minimum of 2 years of experience in investment operations, portfolio administration, or wealth management support
  • Strong analytical and problem‑solving abilities
  • Experience working with portfolio accounting or reporting systems
  • Familiarity with Black Diamond is a plus
  • Understanding of asset classes, including equities, fixed income, mutual funds, ETFs, and alternatives
  • Familiarity with performance measurement concepts
