Role Overview
The primary responsibility for this position is management of tax programs and procedures designed to ensure timely and accurate filing of all tax returns, timely payment of all tax liabilities, and timely and accurate billing of all chargeable services related to any accounts for which the Tax Services department has responsibility.
The Senior Tax Administrator is also responsible for recordkeeping of tax filings and providing general administrative support to the Co-Head of Family Office Tax Services and oversight of all tax administrators’ assignments and projects.
Responsibilities
- Manage the process to ensure all federal and state individual/gift tax returns prepared by the Tax Services department are prepped and filed in a timely manner. Have an awareness of any regulatory changes that would impact the filing process.
- Oversee the day-to-day role of all other tax administrators. Assign short and long term projects. Schedule regular meetings with each administrator to mentor and track progress.
- Perform timely and accurate payment of all tax liabilities owed by trusts or individuals for whom the Tax Services department has tax preparation responsibility.
- Maintain historical records of filing and tax payment compliance for all returns prepared by the Tax Services department. Document and store in RWA’s books and records repository, iManage.
- Oversee the tracking and processing of all fiduciary and individual income tax refunds.
- Manage billing of all Tax Services’ chargeable tax services by administering systems and procedures created to control this process.
- Train and mentor new hires to the Tax Services department; specifically, train new accountants on tracking and payment processes, filing procedures, tax programs and software, department policies on the various deadlines for completed work, etc.
- Timely file all manual tax information ("1099") reporting activities with the IRS and various states as appropriate.
- E-file all fiduciary and individual federal and state income tax returns and FBARs prepared on RWA tax applications (e.g., CCH Axcess Tax) by Tax Services tax staff, and maintain e-filing authorization historical records as required by tax authorities.
- Manage and track the process of opening and modifying filing folders in iManage, revenue tracking and billing in CCH or SF, department tracking spreadsheets, and other tasks related to new clients.
- Performs various short term project for both Tax Services and Client Officers as assigned by the Co-Heads of Tax services consistent with the needs of the department.
- Assist, collaborate, and make suggestions on all firm/departmental projects including any initiatives to make process improvements.
- Work collaboratively with other Family Office department staff on administrative work as assigned by the Co-Heads of Tax services.
- Performs other work related duties as assigned.
- A bachelor s degree or equivalent in a business-related discipline is preferred.
- Minimum of seven (7) years of related administrative experience supporting tax professionals is required.
