Material Coordinator

Responsibilitie

• Shepherd the entire material review process, including managing workflows, setting agendas for medical, legal, and regulatory (MLR) meetings, capturing decisions at the end of MLR meetings, liaising with agencies and brand teams, etc. as per client process
• Check for submission accuracy and completeness in alignment with mutually agreed upon checkpoints captured in a pre-submission checklist.
• Identify submissions that do not meet timelines or are missing required elements, which are not aligned to process or quality standards.
• QC the submission at all stages to ensure they align with the SOPs /practical guidance and meet the minimum acceptable level of quality.
• Provide regular (e.g., bi-weekly) reporting on services performed split by material type (scientific communication and promotional)
• Partner with originators/agencies to correct issues; if no remediation, escalates to clearance leads for awareness and resolution.
• Ensure tasks are assigned to appropriate users to determine renewals or address expirations.
• Attend brand/therapy area, business unit-specific status, prioritization, and MLR meetings.
• First point of contact regarding submission tracking, follow-up, and platform support.
• Provide system assistance, as needed, to external and internal users.
• Manage meeting invites, requests, and agendas.
• Update users and distribution lists, as needed.
• Respond to all inquiries in a timely manner

• Education:
  
  Graduate or Post Graduate with Pharma/life science or equitable experience
• Experience:
  
  This position requires at-least 4+ years of experience in a related position
• Experience working with Veeva
• Must be currently hybrid to Boston, MA
• Willingness to work in an Onsite-Offshore model
