The Cell Therapy Case Manager I coordinates complex end-to-end schedules for cellular therapy patients using defined schemas and checklists. Prepares patient communications and paperwork, including requisitions, consent packets, and lab testing reports. Supports patient insurance pre-authorization and clearance, case reviews, and clinical systems and documentation while adhering to defined SOPs and regulatory requirements.

- Utilize defined schemas and checklists to coordinate complex end-to-end scheduling for cellular therapy patients across exam/infusion clinics, apheresis, lab processing, OR, radiation, specialty pharmacy, social work, nutrition, fertility preservation, bed planning, and outpatient infusions with oversight from team lead(s) and supervisor.
- Prepare patient communications and documentation; complete requisitions and obtain provider signatures. Assemble Standard of Care consent packets aligned to each patient’s treatment plan. Run and transmit reports to support specialized laboratory testing.

- Organize and submit documentation for insurance pre-authorization and clearance. Coordinate with financial counselors to secure approvals for treatment.
- Communicate schedules and changes promptly to patients/donors and all impacted teams. Participate in regular interdisciplinary case review meetings.
- Support multidisciplinary teams in building schedules and confirming resource availability across ancillary departments.
- Maintain accurate records and timely updates across clinical scheduling systems and databases. Adopt new systems as implemented.
- Adhere to program SOPs and regulatory standards. Complete required training and competency validations.
- Follow established on-site rotation. Triage urgent concerns and handle in-person needs (printing, patient guidance, document delivery) when on-site.
- Identify and elevate access, logistics, and administrative issues. Advocate for patients/caregivers and connect them with resources.

Skills and Abilities
- Knowledge of regulated clinical environments and ability to follow SOPs, checklists, and documentation standards.
- Empathetic communication with patients and caregivers experiencing challenging treatment journeys; ability to build trust and convey information with sensitivity.
- Ability to collaborate within interdisciplinary teams; clear, respectful verbal and written communication.
- Strong detail orientation and ability to maintain data accuracy across clinical and scheduling systems.
- Time management and task follow-through; ability to sustain focus on assigned cases to completion.
- Comfort working under strict guidelines and tightly controlled conditions.
- Resilience and adaptability to variable workload while maintaining continuity through effective handoffs
- Proficiency with Microsoft Office and basic EMR use; aptitude to learn service line‑specific systems
- Commitment to inclusivity and cultural competence in patient/donor and team interactions
- High school diploma required. Bachelor’s Degree in Healthcare Administration, Health Sciences, or related field preferred.
- 2 years in a patient, healthcare administration, or clinical laboratory technician role in a complex healthcare environment.
