What You'll DoReferral Coordinators play a vital role in the Dental School's revenue cycle management. This position's role and responsibilities are deadline driven and requires 100% accuracy and exceptional attention to detail. The Referral Coordinator coordinates and manages dental referrals, serving as a primary point of contact for internal/external referring providers, referred patients, faculty, residents, students and relevant staff. This role ensures referrals are processed accurately;
documentation is completed and is responsible for managing all referral processing, which includes verification of patient demographics, authorizations, benefits, patient appointment scheduling to facilitate access to specialty care and ensure seamless communication with referral sources, along with all related referral aspects.
- Responsible for timely and accurate tracking, coordination (documentation and imaging identifying/resolving any issues or delays in the referral process), and communication of patient referrals (clinical background and referral requirements), including handling requests from external and internal referral sources, providing relevant information and data to residents, students, faculty and relevant staff teams, following up between clinics/departments and referral sources through completion.
- Serves as point person for multidisciplinary evaluation process via internal/external providers, which includes patient scheduling, third party communications, and internal communications to ensure details and expectation of referral are met
- Maintains accurate records of referrals, including patient demographics, clinical information and all actions and communication in the patient record/chart.
- Secures patient information and maintains patient confidentiality. Complies with all HIPAA privacy and security rules/laws
- Manages e-mail and inbound and outbound telephone calls related to referrals, appointments, and patient inquiries: contacts patients, providers, internal teams to discuss referrals, explain next steps, and schedule appointments & documents all communications accurately and maintain professionalism in all interactions
- Creates, tracks, and monitors appointments for postgraduate clinics, maintains and reports data on Postgraduate Created Appointments (Total) and Postgraduate New Patients, ensuring appointments are entered accurately and aligned with referral information
- Processes documentation for non consenting patients, including legal guardianship paperwork
- Assists with PT 1 forms and transportation coordination, as applicable
- Ensures all required forms and approvals are obtained prior to patient visits
- All other duties/special projects, as required or assigned
- High School Diploma or GED
- 0-1+ years customer service and/or administrative process management experience in healthcare or related customer/patient services reliant field
- Must be customer service focused (internal and external)
- Possess excellent communication, organizational and interpersonal skills
- Working Excel knowledge
- Exceptional attention to detail
- Ability to effectively communicate technical information
- 1+ years of dental/medical referral coordination/verification and/or healthcare patient administrative services related experience in a fast-paced dental/medical healthcare setting
- Expert knowledge of Medicare, Mass Health and commercial referral requirements, regulations and guidelines
- Familiarity with ADA codes, CPT Codes and ICD-10 Codes
- Experience in a fast-paced dental/medical setting
- Knowledge axiUm software
Minimum $23.00, Midpoint $27.35, Maximum $31.70
Salary is based on related experience, expertise, and internal equity; generally, new hires can expect pay between the minimum and midpoint of the range.
