Medical Assistant – Administrative Focus
Position Title: Medical Assistant – Administrative Focus
Department: Clinical Operations
Reports To: Clinic Manager / Practice Manager
Employment Type: Full-Time / Part-Time
The Medical Assistant – Administrative Focus is responsible for supporting both clinical and administrative operations within a fast-paced healthcare environment. This role is ideal for a Medical Assistant who is highly organized, detail-oriented, and comfortable balancing patient-facing responsibilities with administrative workflows. The position plays an important role in ensuring efficient patient flow, accurate documentation, insurance compliance, scheduling support, and overall clinic operations.
Key ResponsibilitiesAdministrative Responsibilities
- Support front-office operations, including patient check-in and check-out, registration, and appointment coordination.
- Verify patient demographics, insurance information, and required documentation.
- Obtain and maintain current copies of patient identification and insurance cards.
- Verify insurance eligibility and benefits using applicable payer systems.
- Assist with insurance-related questions and escalate complex issues to management or appropriate departments.
- Maintain accurate patient records and ensure required information is documented in the appropriate systems.
- Assist with scheduling, appointment confirmations, cancellations, rescheduling, and follow-up.
- Monitor administrative tasking and ensure assigned tasks are completed timely and accurately.
- Support referral, authorization, credentialing, and other administrative workflows as assigned.
- Assist with tracking cancellations, no-shows, new patients, and other operational metrics.
- Maintain organized electronic and physical files, binders, and workflow resources.
- Support compliance with organizational policies, procedures, and regulatory requirements.
- Communicate effectively with providers, patients, coworkers, insurance companies, and external partners.
- Assist with daily huddles and other operational meetings as needed.
Clinical Responsibilities
- Room patients and obtain vital signs, medical history, and other required information.
- Assist providers with examinations, procedures, and clinical workflows.
- Perform approved clinical duties within the scope of training and organizational policy.
- Maintain exam rooms, clinical supplies, and equipment.
- Support laboratory workflows, specimen collection/handling, and follow-up as applicable.
- Ensure clinical documentation and required screenings are completed accurately.
- Maintain infection prevention, safety, and regulatory standards.
- Support patient education and assist patients in navigating clinical technology and digital health tools.
- Provide professional, compassionate, and respectful service to every patient.
- Identify patients who may require additional assistance and provide appropriate support.
- Help patients navigate insurance, scheduling, digital applications, and other aspects of their care experience.
- Maintain confidentiality and protect patient information at all times.
- Respond to patient concerns professionally and escalate issues appropriately.
- Demonstrate flexibility by supporting both front-office and back-office functions based on clinic needs.
- Work collaboratively with providers, Medical Assistants, Practice Assistants, and leadership.
- Assist coworkers during periods of high patient volume or staffing shortages.
- Take ownership of assigned responsibilities and follow through on tasks.
- Identify workflow issues and communicate opportunities for improvement to management.
- Contribute to a positive, professional, and team-oriented work environment.
- High school diploma or equivalent required.
- Completion of an accredited Medical Assistant program preferred.
- Medical Assistant certification preferred or required based on organizational policy.
- Previous healthcare or outpatient clinical experience preferred.
- Experience with electronic medical records and healthcare scheduling systems preferred.
- Strong understanding of insurance verification and administrative healthcare workflows preferred.
