Opportunity Overview

The successful candidate will be responsible for coordinating and managing publication activities that support the successful execution of an integrated publication plan, reporting to the Head of Global Publications but also supporting publication colleagues in North American Medical and International Medical. This individual will serve as a key operational partner, ensuring publication projects progress efficiently, stakeholders remain aligned, and deliverables are completed in accordance with established timelines, processes, and publication standards.

Responsibilities
  • Lead the day-to-day operational management of publication activities, overseeing timelines, deliverables, milestones, risks, and project communications across the publication plan.
  • Serve as the primary coordinator for publication work streams, partnering with internal team members, external authors, and vendors to ensure alignment, accountability, and timely execution of publication objectives.
  • Manage publication development and submission activities, including coordination of required documentation, author information and agreements, disclosures, approvals, submission materials, tracking of publication milestones through completion, and coordinated, cross-department use of publication tracking tools (iEnvision).
  • Oversee publication vendor workflows, ensuring deliverables meet established quality standards, project milestones, and budgetary targets.
  • Draft and coordinate professional communications, meeting materials, status reports, and follow-up actions to support efficient collaboration and decision-making among stakeholders.
  • Maintain accurate publication records and documentation while ensuring quality, consistency, and compliance with internal processes, SOPs, and applicable publication standards.
  • Identify operational challenges, anticipate potential delays, and implement process improvements and solutions that improve publication planning, execution, and overall team effectiveness.
  • Support congress related publication activities, including tracking acceptance notices, coordinating presentation materials, and organizing publication metrics reporting.
Qualifications and Experience
  • Bachelor's degree in a scientific or healthcare-related field required; advanced degree (e.g. MS, MPH, PhD, or PharmD) a plus.
  • 5+ years of experience in scientific publications, medical communications, publication operations, project management (ideally within medical affairs/medical communications/publications), or a related function within the pharmaceutical or biotechnology industry.
  • Strong understanding of the scientific publication process with demonstrated success managing complex publication projects from planning through submission.
  • Demonstrated experience supporting and executing integrated publication plans and managing publication deliverables, including manuscripts, abstracts, posters, oral presentations, and related publication activities.
  • Required experience with manuscript and congress submission processes, including preparation of submission materials, management of submission requirements, and use of journal and congress submission systems.
  • Strong ability to coordinate activities across cross-functional team members, external authors, and vendors while maintaining project momentum and alignment in a matrixed environment.
  • Excellent organizational, communication, and problem-solving skills, with a proven ability to manage multiple deadlines and maintain a high level of accuracy.
  • Working knowledge of publication-related guidelines and industry standards, including GPP, ICMJE recommendations, and PhRMA guidelines.
  • Proficiency with Microsoft Office applications and publication management, document management, or project-tracking systems. Experience with iEnvision or comparable publication management platforms preferred.
