Job Title: Patient Access Specialist – Neurology Call Center

Compensation: $20– $35 / hour (commensurate with experience)

Position Type: Long-Term Temporary Contract (1-Year Initial Contract)

Location: 100% Onsite at One Brigham Circle (Boston, MA)

  • Hybrid Eligibility: Eligible for a transition to a hybrid schedule (3 days onsite / 2 days remote) after successfully completing the 90-day training policy. Equipment is provided.
  • Schedule Options: Full-Time (40 hours/week, includes a 30-minute lunch break). Candidates must be flexible for both available shift options:
  • Shift 1: Monday – Friday, 8:15 AM – 4:45 PM
  • Shift 2: Monday – Friday, 8:35 AM – 5:05 PM
Position Summary

We are seeking high-energy, patient-centered professionals to join our Patient Access Center team supporting the Department of Neurology. Reporting directly to the Patient Access Center Manager, this role is the initial contact point for patients navigating their neurological care. You will handle high-volume inbound phone calls (50–100 calls per day), verify insurance details, coordinate complex appointments, and manage prescription refill workflows within Epic.

    Previous administrative or call center experience in a hospital setting or private medical practice.
  • Patient-First Mentality: Strong, empathetic communication skills with a focus on high-quality customer service.
  • High-Volume Call Comfort: Proven ability to thrive in a fast-paced environment handling 50 to 100 inbound/outbound calls daily per person.
  • Technical Savvy: Comfortable using Microsoft Outlook and learning department-specific Epic electronic health record (EHR) workflows.
Key Responsibilities
  • Call Center & Inbound Phone Management: Answer inbound calls for the Neurology Department using established greetings and service-level standards; accurately handle, triage, and route high-volume calls to clinical nurses, social workers, administrative staff, or providers.
  • Patient Scheduling & Registration: Verify patient demographics and insurance at the start of each call. Schedule, reschedule, and cancel new and return appointments, specialized neurology procedures, and radiology exams across all neurology divisions following hospital guidelines.
  • Epic & Medical Records Management: Process e-referral work queues (making outreach within 24 hours), request and scan outside medical notes/imaging studies prior to visits, and ensure all pre- and post-visit administrative requirements are met.
  • Prescriptions & Prior Authorizations: Take prescription refill requests, enter details into Epic, route to the appropriate neurologist, and perform prior authorizations for specified medications and scheduled procedures per payer guidelines.
  • Patient Messaging: Record and route detailed clinical messages to providers using department protocols, setting clear response expectations with patients.

Education & Preferred Skills
  • Education: High School Diploma or GED required;
    Associate or Bachelor’s degree preferred.
  • Experience: Prior call center, ambulatory practice, or customer service experience strongly preferred.
  • Insurance & Terminology: Familiarity with medical terminology and health insurance referral/authorization processes preferred.
  • Core Competencies: Excellent verbal and written communication skills, strong team collaboration, and the ability to take direction and adapt to evolving workflows.
