Position OverviewIn this role you will manage and coordinate all conferences, meetings, group functions, and group activities booked through the sales department.
Responsibilities- Negotiate food & beverage pricing, function space, and hotel services within approved guidelines.
- Confirm group requirements via contract terms, addenda, pricing, and event orders.
- Collaborate with sales to service and solicit new business.
- Upsell client events and manage function space and room block inventory.
- Support hotel catering and conference strategy implementation.
- Coordinate services with other departments as agreed by the sales office and clients.
- Promote teamwork and quality service through daily communication.
- Assist clients with menu planning, food & beverage coordination, and event setup.
- Welcome group contacts upon arrival and ensure guest satisfaction.
- Follow up with clients during and after events to secure future bookings.
- Handle inquiry calls and provide proposals per departmental policies.
- Ensure all functions are set up, refreshed, and broken down on schedule.
- Distribute Banquet Event Orders (BEOs) and contracts efficiently.
- Conduct facility tours and entertain qualified clients.
- Maintain client files and update information daily.
- Review daily charge postings and resolve discrepancies; prepare final bills.
- Complete post‑conference reports for senior management.
- Report meeting needs between clients and hotel staff.
- Prepare and distribute amenity request forms, obtain approvals, and follow up on delivery.
- Verify function room setups before guest arrival, ensuring compliance with client requirements and hotel standards.
- Perform other duties as assigned.
Some college plus 1–2 years of sales or marketing experience or equivalent education and experience. Prior experience in a luxury hotel environment is preferred. Fluency in English is required.
Physical Requirements- Frequently standing or moving inside and outside the facility.
- Carrying or lifting up to 25 pounds.
- Handling objects, bending, stooping, and kneeling.
- Use strong communication skills when interacting with guests, employees, and third parties.
- Use reading and writing abilities for paperwork and reports.
- Apply basic math, budgeting, profit/loss concepts, percentages, and variances.
- Employ problem‑solving, reasoning, motivation, and organizational skills.
- Work nights, weekends, and/or holidays as needed.
Salary: $72,000 per year. Benefits include medical, dental, vision, disability and life insurance, a matching 401(k) plan, complimentary dry cleaning, employee meals, worldwide hotel discounts, and other discount programs.
