Overview

We are looking for a highly organized, proactive, and detail-oriented People Operations & Executive Coordinator to support our growing organization. This role combines people operations, talent acquisition coordination, executive support, and business operations to help create an exceptional employee experience and ensure the smooth execution of day-to-day business activities.

The ideal candidate is a self-starter who thrives in a fast-paced, entrepreneurial environment, enjoys wearing multiple hats, and is passionate about supporting both people and business operations. This role requires strong organizational skills, attention to detail, professionalism, and the ability to handle confidential information with discretion. The role is hybrid-based in Boston, MA.

Key Responsibilities People Operations
  • Support payroll processing activities, including preparing payroll information, reviewing data for accuracy, and coordinating payroll submissions.
  • Assist with administration of employee 401(k) enrollments, eligibility, and related activities.
  • Support employee onboarding and offboarding, including documentation, system setup, and orientation coordination.
  • Maintain employee records and HR documentation in accordance with company policies and established processes.
  • Assist with HR reporting.
  • Coordinate required employee training, acknowledgments, and compliance activities.
  • Partner with external vendors, including the PEO.
  • Support employee engagement initiatives, company events, and culture-building activities.
Talent Acquisition
  • Coordinate recruiting activities across multiple departments and teams.
  • Post and manage job openings across recruiting platforms and company channels.
  • Schedule and coordinate interviews with candidates and hiring managers.
  • Maintain candidate communication throughout the recruiting process to ensure a positive candidate experience.
  • Support offer letter preparation, background checks, and pre-employment processes.
  • Track recruiting activity and maintain applicant records and reporting.
Executive Support
  • Provide administrative and coordination support to the Chief of Staff and, as needed, the executive leadership team.
  • Assist with meeting coordination, presentations, agendas, and other business materials.
  • Support company meetings, employee events, and off-sites.
  • Assist with general Boston office coordination and administrative needs.
Qualifications
  • 3+ years of experience in people operations, HR coordination, recruiting coordination, executive administration, office management, or related roles
  • Experience supporting payroll, benefits, or other HR administration preferred
  • Experience coordinating recruiting and interview processes
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Close attention to detail and strong problem-solving abilities
  • Ability to handle confidential information with discretion and professionalism
  • Proficiency with Microsoft Office Suite and HR/payroll/applicant tracking systems
  • Experience working in a startup or high-growth environment preferred
  • Self-starter with a proactive, resourceful, and collaborative mindset
  • Comfortable operating in an evolving environment with changing priorities
  • Passion for creating positive employee and candidate experiences
