Position OverviewA highly respected law firm is seeking a Docketing Administrator to join its Intellectual Property team. This role supports complex patent and trademark processes and offers the opportunity to build deep expertise in IP docketing

If you bring 2–3 years of experience in IP docketing
, strong familiarity with PCT filings

- 2+ years of IP docketing experience
- Strong knowledge of USPTO and WIPO procedural requirements
- Hands‑on USPTO electronic filing experience
- Knowledge of foreign filing and national phase entry procedures
- Proficiency in Microsoft Office
- Strong written communication and proofreading skills
- Collaborative, organized, and adaptable
- Ability to manage multiple deadlines within a fast‑paced workflow
- Commitment to accuracy, confidentiality, and professionalism
The IP Docketing Administrator provides essential support to patent and trademark attorneys and senior paralegals, including:
- Preparing US and PCT application filing papers such as Declarations, Assignments, and Powers of Attorney
- Drafting US prosecution documents, including Office Action responses, petitions, corrected papers, and fee submissions
- Drafting PCT follow‑on filings
, including responses to Invitations, Powers of Attorney, and other required communications - Preparing instructions to foreign associates for national phase entries and ensuring all formality requirements are met
- Preparing US and foreign filing estimates and advance invoices
- Reviewing incoming correspondence and taking responsive action
- Coordinating with vendors for formal drawings and document legalization
- Providing backup trademark support, including USPTO filings and correspondence updates
- Managing daily docketing for US and foreign patent and trademark matters
- Resolving docket issues and maintaining accurate deadlines
- Reviewing weekly deadline reports and obtaining required information from attorneys
- Supporting annuity management
, including payments and deadline tracking - Conducting regular quality control audits on the docket database
- Performing additional duties as assigned by the IP Manager
