We are seeking an experienced and highly trusted individual with Trust and Estate Administration experience to oversee the firm’s client trust accounting and fiduciary administration functions. This role is responsible for the accurate management of trust accounts, as well as supporting the administration of trusts in compliance with state law, fiduciary obligations, and firm policies. The ideal candidate is hands‑on, detail‑driven, and comfortable operating independently in a boutique law firm environment.
Key Responsibilities Trust Accounting- Oversee and manage all client trust accounts in compliance with state law
- Work closely with attorneys and billing staff to ensure proper handling of trust-related transactions, including beneficiary distributions
- Prepare trust accounting reports and documentation for firm leadership, the Probate and Family Court, and other interested parties
- Manage income tax compliance and payments as well as coordination with outside financial advisors
- Support the administration of client estate & trusts, including recordkeeping, disbursements, and financial tracking
- Maintain trust accounting records in accordance with trust instruments and fiduciary requirements
- Coordinate with attorneys regarding distributions, expenses, and compliance with trust terms
- Assist with preparation of estate & trust accountings, statements, and reports for beneficiaries and fiduciaries
- Ensure compliance with applicable state fiduciary laws, deadlines, and documentation requirements
- Manage correspondences as they relate to trust administration
- Support attorney with estate administration matters as needed, including communication with interested parties, preparation of court pleadings, and preparation of estate accounts
- Investigate and resolve discrepancies related to trust accounting or administration
- Develop, document, and improve trust administration policies and procedures
- Strengthen internal controls and best practices around trust administration
- Serve as the firm’s internal subject-matter expert on trust accounting and administration
- Provide guidance and training to attorneys and staff on trust compliance matters
- Bachelor’s degree in accounting or a related field, paralegal studies or related field, or paralegal certification
- 3+ years of experience in law firm trust and estate administration
- Strong knowledge of the Massachusetts Uniform Trust Code and the Massachusetts Uniform Probate Code
- Experience supporting trust administration, including fiduciary accounting and reporting and fulfillment of trustee duties
- Fiduciary income tax knowledge
- High level of accuracy, integrity, and ethical judgment
- Ability to work independently
- Strong organizational and communication skills
- Prior experience in a small to mid-size law firm
- Familiarity with jurisdiction-specific trust and fiduciary laws
- Experience with Probate accounting and Estate Administration
- Hybrid Role
