On-Site Operations Manager

The On-site Operations manager is a key management position charged with maintaining and growing one or more accounts and managing one or more locations in a given city. Manages on-site facilities to include, but not limited to, mail, copy, fax and other administrative services in law firms and corporate accounts.

Full time, direct hire. Minimal travel may be required.

Position Salary: $107,000 - $111,000 per year

Hours of Operation:
Monday-Friday, 8am-4:30pm, must be available as needed (some weekend work at peak times will be required)

Responsibilities

Job Responsibilities:

  • Maintain effective written and oral communications with clients, employees and the operations team
  • Serves as point of contact for site Mail services, ensuring client service level requirements are met
  • Support, lead, and manage site and vendor initiatives and requirements
  • Ensure Quality Control measures are correctly developed, implemented, and monitored to support operation
  • Work with corporate recruiting team to manage the recruiting process on site
  • Manage renewals and contract amendments;
    Manage the budget and controls expenses effectively at assigned sites
  • Ensures all work standards are met on a consistent basis by IST site employees
  • Prepares and distributes management reports to the client in a timely and consistent manner
  • Ensures maximization of productivity through efficient use of standard operating procedures
  • Develops new procedures to improve the operation of the site(s) and to lower operating costs
  • Manages, trains and coach employees and develops a work environment that promotes high motivation and customer satisfaction
  • Works with Assistant Site Manager to ensure proper deploying of staff to uphold client and site needs
Qualifications

Qualifications:

  • Two to ten years' experience managing facilities management accounts for law firms, colleges, facilities management companies and/or corporate accounts
  • Knowledge of Microsoft Office (Word & Excel) and familiarity with computer basics is preferred
  • Ability to communicate both verbally and written with customers and other employees both one-on-one and during meetings
  • Knowledge of supervisory techniques to manage, motivate and train employees
  • Ability to prepare reports and present information to customers
  • Must have attention to detail and critically think through and resolve problems
  • Must have customer service skills and be able to maintain a consistent, high level of service
  • Must have ability to multi-task, manage assigned accounts and establish priorities
  • A valid driver's license and/or reliable transportation to and from work
  • Lifting up to 55 pounds;
    Standing for long periods of time;
    Significant walking
