Position: SUPPLY STORE MANAGER Clinical Affairs Administration

Responsibilities

The Supply Store Manager will manage a team of 14, including 10 Dispensary Assistants, 2 Supply Store Coordinators, 1 Supply Store Assistant, and 1 Student Materials Coordinator. The Manager oversees all inventory levels of supplies housed within the Supply Store, including ordering, invoice reconciliation, departmental order fulfillment, and PO set up. Responsibilities include overseeing all aspects of shipping and receiving for dental supply stock, inventory management and annual inventory counts, maintaining documentation related to receiving, stock, and non‑stock supply distribution, coordinating emergency deliveries with the Transportation Department, researching special‑order delivery issues, unloading, unpacking, and storage of received inventory, notifying departments of changes such as overstock or slow‑moving items, verifying and reporting item quantity discrepancies to the Director, delivering stock and non‑stock items to affiliated clinics, ensuring staff pick tickets/computer requisitions are completed and supplies are delivered in a timely manner, assisting with annual and cycle count events, and assisting with the loading and unloading of the department’s delivery truck.

The Manager maintains an environment that fosters teamwork and provides excellent customer service, interacting with students, residents, staff, and faculty. Under the Director’s direction, the Manager determines, approves, and monitors staffing needs, handling hiring, training, performance management, discipline, and corrective actions. The Manager is also responsible for budget activities, including planning, preparation, forecasting, and monitoring of materials, resources, and staffing, and maintains and monitors the budget using SAP reporting.

The Manager approves weekly timesheets and Time Off Requests, records and tracks employee absences, and monitors and approves sick and vacation requests to ensure adequate coverage.

Qualifications

The position requires a bachelor’s degree and 3–5 years of work experience. The role directly supervises staff and/or students, which includes deciding on hiring and firing, completing performance evaluations, training, allocating work, and resolving problems.
