Help Build the Next Chapter of an Exceptional Business
The Collective is one of Greater Boston's leading residential real estate teams, built on exceptional client service, trusted relationships, and a commitment to doing things the right way.
As our business continues to grow, we're looking for an experienced Executive Assistant/Operations Manager to become the operational leader of our organization and directly support the Principal.
This is not just an Executive Assistant position. It is an opportunity to partner directly with the Principal of a high-performing business, take ownership of day-to-day operations, improve systems, solve complex problems, and help build an organization positioned for its next stage of growth.
If you love bringing order to complexity, improving businesses, and helping leaders perform at their highest level, we'd love to meet you.
About the RoleThis role will become the operational partner to our Principal, ensuring the business runs smoothly, projects move forward, systems continue improving, and clients receive an exceptional experience—while protecting the founder's time, attention, and focus.
Success in this role isn't measured by how many tasks you complete. It's measured by how effectively you create the capacity for someone else to lead.
What You'll Do Executive PartnershipYou'll work alongside the Principal as a trusted operational partner by:
- Protecting priorities, calendar, and focus
- Managing communications and follow-through
- Anticipating needs before they become problems
- Preparing meetings, scheduling and ensuring accountability afterward
- Coordinating strategic initiatives and special projects
- Acting as the central point of communication for the Principal
- Filtering complexity rather than creating it
You'll own the operational execution of the Principals' business by:
- Managing listings from preparation through launch alongside the team's Transaction Coordinator
- Overseeing transaction timelines to hit key dates
- Coordinating vendors, inspectors, attorneys, contractors, photographers, and stagers
- Managing and directing the team's Transaction Coordinator
- Working with our systems coach to continually improve operational processes
- Monitoring deadlines and deliverables
- Identifying inefficiencies and improving them
- Solving problems before they require founder involvement
Our expectation is simple:
Nothing falls through the cracks.
You'll serve as an extension of the Principal whenever doing so enhances the client experience.
This may include:
- Attending inspections, walkthroughs, listing appointments, and vendor meetings, as needed
- Communicating with clients throughout transactions
- Representing the business with professionalism, confidence, warmth, and sound judgment
- Ensuring every client enjoys a seamless, consistent experience
You probably don't think of yourself as "an assistant."
You're someone who loves building structure, creating clarity, solving problems, and making organizations run better.
You find satisfaction in making someone else's success possible.
You're calm under pressure.
Highly organized.
Emotionally mature.
Exceptionally reliable.
Comfortable making thoughtful decisions independently.
You notice problems before other people do.
When something unexpected happens, your instinct isn't to panic.
It's to say, Okay. Here's what we're going to do.
What You've DoneYou may have experience as a:
- Business Manager
- Director of Operations
- Chief of Staff
- Executive Assistant supporting a founder or CEO
- Family Office Manager
- Luxury Concierge Manager
- Practice Administrator
- Law Firm Administrator
- Operations Leader for another entrepreneurial business
- Operations Manager for a high-performing real estate team
Real estate experience is certainly valuable. But exceptional judgment, ownership, communication skills, and operational leadership matter even more.
What Success Looks LikeWithin your first year:
- The Principal spends dramatically more time serving clients and growing the business.
- Daily operational questions are resolved without founder involvement.
- Systems become stronger.
- Accountability improves.
- Clients enjoy an even more consistent experience.
- The business becomes less dependent on one person.
We're not looking for someone to manage a calendar. We're looking for someone who wants to help build an exceptional business. This role offers significant responsibility, meaningful autonomy, direct partnership with the founder, and the opportunity to shape how one of Greater Boston's leading real estate teams operates for years to come.
If you're energized by ownership, operational excellence, and making a measurable impact every day, we'd love to hear from you.
