RESIDENT SERVICES COORDINATOR (Full-Time / Non Exempt)

Established in 1968, IBA - Inquilinos Boricuas en Acción is a dynamic community development corporation in Boston's South End. IBA's mission is to empower and engage individuals and families to improve their lives through high-quality affordable housing, education, and arts programs.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES Rentals and Operations

Manages rental space operations and administrative systems, including record keeping and compliance with financial, legal, safety, and licensing requirements. Is "on call" for event staff troubleshooting or delegation as needed. Oversees calendars and rentals for all rental spaces. Supervises and coordinates events to ensure excellent customer service. In collaboration with the Chief Operating Officer, identifies, trains, and supervises event managers and staff on amenities, rental packages, policies, and procedures.

Handles rental logistics including but not limited to: client intake, contracts, deposits, invoicing, licensing, staffing, event setup etc. Monitors daily space performance. Analyzes operations for efficiency, suggests and implements cost control strategies approved by senior management. In collaboration with the Chief Operating Officer, keeps track of annual budget, monthly liquor and rental revenue goals, inventory counts, and supply orders. Collaborates with Chief Operating Officer and Senior Management to meet rental and sales goals.

Develops strategies to maximize space usage without compromising in house programming. Researches and cultivates new rental clients. Maintains strong relationships with prospective, current, and past renters.

Space Management & Programming

Works with Chief Operating Officer to align artistic offerings with organizational mission and values. Manages and assists with logistics, permits, licensing, etc. for special events (e.g., Festival Betances). Works during weekend, evening, and outside of business hours for rental space management.

Marketing & Outreach

Increases audience engagement, including Villa Victoria residents. Ensures marketing and communication deadlines are met. Assists in developing promotional materials. Creates Rental Space event calendar to be posted on main website. Develops target lists for event and promotion companies. Maintains partnerships with local colleges, organizations, and artists to support high quality arts programming. Builds and maintains relationships with city agencies (Office of Consumer Affairs, Liquor Licensing Board, Boston Police etc.).

Data

& Reporting

Maintains monthly and annual data on clients and events. Supports team in data collection and reporting.

Community & Representation

Represents the organization at meetings; participate in major community events (Three Kings Day, Festival Betances, etc.). Performs additional duties as assigned.

GENERAL COMPETENCIES AND QUALIFICATION REQUIREMENTS

Bachelor's Degree in Business Administration, or related field preferred. A minimum of five years of proven successful experience in: staff management, fundraising, budget development/financial management, planning, managing and implementing art programs activities. Successful track record of cultivating and coordinating customers, donors and volunteers. Outstanding Customer Services Oriented. Excellent verbal and written communications skills. Bilingual, Spanish-English, preferred. Strong administrative, organizational skills and attentive to details.
